Job Opportunity: IT Project Coordinator
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an IT Project Coordinator based in United Kingdom.
As an IT Project Coordinator, you will support the Project Manager in coordinating multiple active projects and keeping day-to-day activities organized and on track. You will serve as a key communication point for clients, vendors, technicians, and internal teams, ensuring everyone has clear information about timelines, scope, and next steps. The role combines project administration, scheduling, documentation, and proactive follow-up in a fast-paced environment. You will help identify delays, blockers, and outstanding actions before they become larger issues. While technical expertise is not required, strong organization, accountability, and client communication are essential. This is an opportunity to bring structure and consistency to a growing project environment while contributing to a high standard of client service.
Accountabilities
- Support the Project Manager with the coordination of multiple concurrent projects, tasks, tickets, and workstreams.
- Communicate proactively with clients regarding project scope, scheduling, timelines, updates, and next steps.
- Track open items, pending responses, delayed tasks, commitments, and project milestones through completion.
- Coordinate internal schedules for project-related activities, including onsite and remote work.
- Communicate with vendors regarding schedules, deliverables, timelines, and project requirements.
- Respond to client questions and requests promptly, professionally, and accurately.
- Help manage client expectations and escalate concerns, blockers, delays, and timeline risks when appropriate.
- Coordinate with internal teams, project resources, vendors, procurement, and installation teams.
- Work with Procurement to monitor the status and expected timing of ordered equipment and parts.
- Coordinate travel arrangements for installation technicians when required.
- Assist with developing and updating internal processes, policies, and procedures.
- Maintain accurate project documentation and handle sensitive information with confidentiality.
- Support training and onboarding for project team members and new hires as needed.

Requirements
- Previous experience in project coordination, operations coordination, scheduling, client coordination, administrative coordination, or a similar role.
- Strong client-facing communication skills across phone, email, and other communication channels.
- Proven ability to consistently follow up on open items and drive actions through completion.
- Experience managing multiple active projects, tasks, requests, or workstreams simultaneously.
- Experience coordinating schedules, timelines, tasks, tickets, or internal resources.
- Strong written and verbal communication skills with a professional and client-friendly approach.
- Experience communicating directly with clients, customers, vendors, or other external stakeholders.
- Ability to prioritize competing demands and manage tight deadlines in a fast-paced environment.
- Strong organizational, planning, time-management, and attention-to-detail skills.
- Ability to identify unclear requirements, delays, blockers, and risks and escalate them appropriately.
- Dependable and proactive approach, with the ability to take ownership without requiring constant supervision.
- Ability to gather information, ask clear questions, document next steps, and keep relevant stakeholders informed without needing to resolve technical issues personally.
- Ability to handle confidential and sensitive information professionally.
- Experience in an MSP, IT, or professional services environment is preferred but not required.
- Familiarity with ticketing systems, project boards, scheduling tools, or task management platforms is a plus.
- Experience coordinating across multiple internal teams or working with vendors and third-party partners is advantageous.
