IT Project Coordinator | SmartProjects

As an IT Project Coordinator, you will play a central role in supporting and leading the delivery of a variety of client-facing technology projects, while also forming part of TDM Group's internal Project Office team. These projects may include cloud migrations, infrastructure upgrades, security initiatives, network deployments, business application rollouts, and onboarding of new client partners into managed services.

You will take end-to-end ownership of delivering projects, working closely with senior Project Managers on larger or more complex engagements. As part of the Project Office, you will also help ensure that Project Managers across the business are following internal project guidance and processes, checking in with them to understand the reasons behind any deviations and providing support where it is needed.

This role is ideal for a detail-oriented, proactive individual who thrives in a fast-paced environment, enjoys working with multiple stakeholders, and has a strong interest in IT services, project delivery, and portfolio-level coordination.

Key Responsibilities

Project Leadership and Coordination

  • Lead the end-to-end delivery of IT projects, taking full ownership from initiation through to closure.
  • Support Project Managers in planning, organising, and delivering larger or more complex IT projects across varied client partner environments.
  • Help ensure Project Managers are following internal project guidance and company requirements, checking in to understand the reasons where this is not the case.
  • Create and maintain project documentation including schedules, RAID logs, status reports, meeting minutes, runbooks, and change records.
  • Track progress against milestones, deadlines, and budgets, escalating risks or delays when required.
  • Proactively identify potential issues or risks within project delivery and raise them early to prevent future challenges and support successful outcomes.
  • Prepare project proposals, statements of work, and onboarding and offboarding documentation for client partners.

Communication and Stakeholder Management

  • Act as a key point of contact between technical teams, client partners, and internal business units.
  • Schedule and support project meetings, workshops, and reviews, ensuring actions are recorded and progressed.
  • Provide clear and timely updates on project status, dependencies, and actions to both project stakeholders and the Project Office.
  • Support effective client partner communication throughout the project lifecycle.

Collaboration and Internal Coordination

  • Work with engineers, consultants, and service teams to co-ordinate resources effectively.
  • Ensure project activity is accurately recorded within TDM Group systems, including project management tools and documentation repositories.
  • Liaise with Service Desk and Operations Teams to ensure prompt initiation and seamless transition of completed projects into BAU support.

Quality, Compliance and Continuous Improvement

  • Ensure project documentation meets internal quality and compliance standards.
  • Support post-implementation reviews and gather feedback to drive improvement.
  • Contribute to the enhancement of delivery processes, templates, and best practice across the Project Office.

Skills and Experience

  • Experience in project co-ordination within an MSP or IT services environment is beneficial.
  • Experience leading projects end-to-end is beneficial.
  • Strong organisational and time-management skills with the ability to manage multiple projects at once.
  • Comfortable holding a portfolio-level view across several concurrent projects, in addition to hands-on delivery.
  • Strong written and verbal communication skills with a client partner-focused approach.
  • Understanding of IT terminology, infrastructure, cloud concepts, and ITIL-based processes.
  • Proficiency with project management tools and systems.
  • Competence with Microsoft 365, including Excel, Word, Teams, and SharePoint.
  • Ability to collaborate effectively with technical and non-technical stakeholders.

Qualifications

  • PRINCE2, CAPM, or similar accreditation is required, or a willingness to obtain PRINCE2 Foundation within the first 3 to 6 months of employment.
  • ITIL Foundation certification, or a willingness to obtain this.
  • Familiarity with Microsoft 365, Azure, networking, or cyber security frameworks.
