IT Project Management Coordinator | IT Projects & Portfolio Support | Hybrid – UK
About the Role
We're looking for a highly organised IT Project Management Coordinator to support the successful delivery of major IT projects and transformation programmes across Safetykleen.
Reporting to the Head of IT Project Management, you'll play a key role in keeping projects organised, governance on track and stakeholders informed. From coordinating meetings and producing high-quality project documentation to maintaining RAID logs, reporting and project records, you'll provide essential support across our IT project portfolio.
This is an excellent opportunity for someone with experience supporting IT projects who is looking to develop their career within Project Management. You'll gain exposure to large-scale technology programmes, work alongside experienced project professionals and build the skills needed to progress into a future Project Manager role.
What You'll Be Doing
- Coordinating project documentation, RAID logs, action trackers and governance records
- Organising project meetings, producing accurate minutes and tracking actions through to completion
- Maintaining the IT project portfolio, ensuring project information remains accurate and up to date
- Supporting project reporting, dashboards and Executive updates
- Preparing project documentation, presentations and communications for key stakeholders
- Coordinating vendor administration, including purchase orders, invoices and contract tracking
- Supporting supplier onboarding and maintaining vendor records
- Assisting with project governance, change control and project processes
- Coordinating IT recruitment administration, onboarding and headcount tracking
- Managing project document libraries, templates and collaboration tools
- Identifying opportunities to improve processes and support continuous improvement across the IT Project Management function

About You
You're an experienced IT Project Coordinator, PMO Coordinator or Project Administrator with experience supporting technology projects and a genuine ambition to progress into Project Management.
Highly organised and exceptionally detail-focused, you'll enjoy bringing structure to complex environments, keeping documentation accurate and ensuring project teams have the information they need to deliver successfully.
You'll be confident working with technical teams, comfortable with IT terminology and able to produce clear, professional written communication for a range of stakeholders.
You will have:
- Experience supporting IT projects or an IT PMO function
- Excellent organisational skills with exceptional attention to detail
- Experience producing accurate meeting minutes, project documentation and reports
- Strong written and verbal English communication skills
- Experience supporting project governance, RAID logs and action tracking
- Strong Microsoft 365 skills, including Excel, Word, PowerPoint, Teams and SharePoint
- Experience using project management tools such as Microsoft Project, Planner, Jira or similar
- The ability to manage multiple priorities and deadlines in a fast-paced environment
- A proactive approach with a desire to develop a career in Project Management

Desirable experience includes:
- Experience supporting IT transformation or ERP programmes
- Microsoft Dynamics 365 or enterprise systems exposure
- Experience coordinating suppliers, purchase orders and contracts
- Knowledge of Agile, Waterfall or hybrid project delivery methodologies
- PRINCE2 Foundation or equivalent project management qualification
