Position: (Japanese Speaking) Corporate Services Administrator (Maternity Cover)

Location: London - On site

Salary: £20,800-£23,772 per annum (based on 26 hours per week)

Type: Fixed-term maternity cover contract

Working Hours: Part-time position (approximately 20-26 hours per week)

About The Role

This position covers HR administration, office operations, general affairs, and IT support activities. The successful candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced workplace.

Main Duties & Responsibilities

Human Resources (HR)

  • Support employee onboarding and offboarding processes.
  • Maintain employee records, HR databases, and training documentation.
  • Assist with internal communications, staff engagement initiatives, and company events.
  • Coordinate with external providers and internal stakeholders on HR-related matters.

General Affairs & Office Administration

  • Support the smooth day-to-day operation of the office.
  • Manage office supplies, equipment, and company assets.
  • Coordinate vendors, suppliers, contractors, and service providers.
  • Assist with facilities management, health & safety administration, and company vehicle management.
  • Organize meetings, business travel arrangements, and corporate events.

IT Administration & Support

  • Provide first-line support for IT and systems-related inquiries.
  • Coordinate with external IT service providers and software vendors.
  • Support user account administration, access management, and equipment inventory.
  • Assist with website updates, business systems maintenance, and IT-related projects.

Administrative & Operational Support

  • Respond to internal and external inquiries in a professional manner.
  • Support operational, compliance, and business improvement projects.
  • Assist management with ad hoc administrative tasks and cross-functional initiatives.
  • Contribute to the efficient running of corporate support functions across the business.

Requirements

  • Fluent English and business-level Japanese
  • Strong organizational and administrative abilities
  • Capable of managing multiple priorities and deadlines
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently and collaboratively
  • Professional, confidential, and ethical approach to work

Preferred Experience

  • Administration, office management, HR administration, or related support experience
  • Experience working with external vendors and service providers
  • HR support or onboarding experience
  • Basic IT support or systems administration experience
