Are you fluent in both written and spoken Japanese and English, with the ability to communicate confidently with international project stakeholders?

Do you have experience in a Project Administrator, Site Administrator or Project Support role within engineering, construction, infrastructure, manufacturing or major project environments? Would you like to play a key role supporting the delivery of a nationally significant decarbonisation project whilst working closely with both UK and Japanese project teams?

The Opportunity

An exciting opportunity has arisen for a Japanese-speaking Project Administrator to join a major carbon capture and decarbonisation project in North Wales on a 2.5 year fixed term contract, likely to be extended. This role offers the opportunity to work on a high-profile engineering programme, supporting both UK and Japanese personnel within a fast-paced project environment. In return, you will gain exposure to a landmark infrastructure project, work alongside international teams, and play a key role in supporting successful project delivery from site.

Your duties and responsibilities will be

  • Provide administrative support to the project management and site teams.
  • Coordinate travel arrangements, accommodation bookings and business itineraries.
  • Process and track employee expenses and project-related costs.
  • Support mobilisation and onboarding activities for project personnel.
  • Arrange meetings, prepare agendas and coordinate meeting logistics.
  • Maintain project records, documentation and filing systems.
  • Assist with timesheet administration and workforce records.
  • Coordinate site access requirements and visitor arrangements.
  • Support invoice processing and general office administration activities.
  • Liaise with internal stakeholders, subcontractors and project teams.
  • Assist in the preparation of project reports, presentations and correspondence.
  • Ensure documentation is maintained accurately and confidentially.
  • Provide translation and communication support where required between Japanese and English-speaking stakeholders.
  • Support wider project activities as required by the project leadership team.

You will have the following qualifications & experience:

  • Fluent spoken and written Japanese and English (essential).
  • Previous experience in a Project Administrator, Project Coordinator, Site Administrator or Project Support position.
  • Strong administrative and organisational skills.
  • Experience coordinating meetings, travel and project documentation.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
  • Excellent communication and stakeholder management skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • Ability to work independently and as part of a wider project team.
  • Full UK Driving Licence.

It’s great if you also have the following

  • Experience supporting engineering, construction, infrastructure or industrial projects.
  • Experience working within EPC, oil & gas, energy, manufacturing or major capital project environments.
  • Knowledge of document control processes.
  • Previous experience supporting international project teams.
  • Experience coordinating mobilisation, logistics or workforce administration activities.
  • Familiarity with project management systems and databases.
  • Understanding of health, safety and quality requirements within a project environment.

The setting for the role

  • Site-based position in North Wales.
  • Full-time, Monday to Friday.
  • 35 hours per week.
  • 2.5 year fixed-term contract supporting a major project programme.
  • Collaborative project office environment working alongside UK and Japanese stakeholders.
  • Opportunity to contribute to a nationally significant carbon capture and decarbonisation project.
