We operate from beautiful head offices overlooking the river Ouse in Lewes, East Sussex.

The Role

We are seeking a warm, brilliantly organized People & Office Coordinator to be the friendly face of Ancient + Brave and the engine room behind our People Team. This is a genuinely varied role, one moment you're making a new starter feel welcome on their first day, the next you're sorting a supplier query so the office runs without a hitch or helping our team update our monthly payroll.

You will sit within the People & Talent team, working closely with the Head of People and People Manager, People Ops & Talent Lead, and our Executive Assistant to keep the employee experience seamless from offer to leaver, while also owning the day-to-day running of our Head Office – from health & safety to helping keep the place looking and feeling brilliant.

This is a fantastic opportunity for someone early in their People or office management career who wants broad exposure across the employee life cycle, plus the satisfaction of running a workplace people genuinely love coming into.

This role is based full-time in our Lewes Head Office, with occasional possible travel to our Unit/Warehouse in Barcombe Mills.

What You'll Do

Reporting to the Head of People initially, you will be responsible for the following:

People & Employee Life Cycle Support

  • Support recruitment administration, including scheduling interviews, coordinating candidate communications, and screening where necessary.
  • Work alongside our flexible recruitment partner, who provides extra hiring support as needed.
  • Lead on onboarding end-to-end, including preparing offer paperwork and contracts, setting up new starters on our HRIS (Humaans), and ensuring from day one our employees have a warm welcome.
  • Liaise with our external IT provider to ensure new starters are set up with the necessary equipment.
  • Coordinate probation review reminders, right-to-work checks, and reference requests, keeping records accurate and audit-ready.
  • Support the leaver process, exit paperwork, equipment returns, and HRIS updates, ensuring everything is handled with care and consistency.
  • Help maintain the Company Shared Sites such as the HRIS and G-Drive, keeping policies and key information accurate and easy to find.

First Line People Queries

  • Be a friendly first point of contact for everyday people questions from across the team – holidays, benefits, policies.
  • Triage queries and resolve the straightforward ones; escalate anything more complex to the relevant member of the People Team with a clear handover.

Office Management (with dotted line to Executive Assistant who leads in this area)

  • Supporting the day-to-day running of our Lewes Head Office, including ordering supplies, kit, deliveries, and keeping the space looking and feeling brilliantly on-brand.
  • Be the main point of contact for cleaners and office suppliers, resolving issues quickly.
  • Act as our office health & safety point of contact, arranging fire drills, first aid supplies, DSE assessments, helping keep us safe and compliant.
  • In EA’s absence, supporting diary management for Founder and SLT.
  • Manage meeting room bookings and make sure the office is guest-ready for visitors, candidates, and clients.
  • Main point of contact with our outsourced IT provider for all day-to-day enquiries.

Culture & Events

  • Plan and deliver team socials and wellbeing moments that bring our Ancient + Brave culture to life.
  • Support the Executive Assistant with the organization and delivery of team gatherings throughout the year.
  • Support the People Team with internal comms and any all-team meetings or off-sites, logistics, catering, room setup, etc.

Payroll, Compliance & Records

  • Keep employee records, contracts, and policies accurate, complete, and compliant.
  • Help the People team manage the administration behind our monthly payroll.
  • Support any audit activities with the right paper trail.

Who You Are

To be successful in this role, you will need the following skills / knowledge / experience:

  • Experience in an office management, People/HR administration, or coordinator role, ideally in a fast-growing or multi-site business.
  • Brilliantly organized, with a genuine love of ticking things off a list and keeping everything running smoothly.
  • Confident with systems (an HRIS or similar) and comfortable picking up new tools quickly.
  • Curious as to AI use and implementation and how we can use it responsibly to enhance the employee experience.
  • A warm, can-do communication style; people feel comfortable asking you anything, from a holiday query to a leaking tap.
  • Calm under pressure and happy juggling several things at once – from onboarding paperwork to an office supplier query.
  • Genuinely interested in developing a career in people and culture, with an eye for the small details that make a workplace feel special.
