Company Description
Zenith Financial Planning is a well-established financial advice firm based in Nottingham, dedicated to helping our clients achieve their financial goals through trusted, professional guidance. As we continue to grow, we're looking for an organised and detail-oriented Financial Advice Administrator to join our friendly team and support our advisers in delivering an outstanding client experience. Zenith Financial Planning Ltd is an Appointed Representative of St. James's Place Wealth Management plc, which is authorised and regulated by the Financial Conduct Authority, offering applicants the assurance of working within a well-regulated and reputable financial services environment.
Role Description
As a Financial Advice Administrator, you'll play a key role in the smooth day-to-day running of our advice process, providing essential administrative support to our financial advisers and ensuring our clients receive a seamless, professional service.
Key Responsibilities
- Preparing client documentation, including valuations, illustrations, cash flow forecasts, and suitability reports
- Processing new business applications and liaising with product providers
- Maintaining accurate client records on our back-office system
- Handling client queries by phone and email in a professional, friendly manner
- Scheduling client meetings and supporting advisers with pre- and post-meeting preparation
- Ensuring compliance with regulatory requirements and internal processes
- General administrative duties to support the wider team

About You
We're looking for someone with around 1-3 years' experience in a financial services administration role, ideally within an IFA or wealth management setting. You'll be:
- Highly organised, with excellent attention to detail
- A clear and confident communicator, both written and verbal
- Comfortable working with financial services systems and Microsoft Office
- Proactive, with a strong sense of ownership over your work
- Relevant industry qualifications (e.g. CII) welcome, though not essential
Qualifications
- Strong administrative and organizational skills, including accurate data entry, document management, and attention to detail.
- Proficient IT skills, with confidence using Microsoft Office (Word, Excel, Outlook) and learning new systems or CRM platforms.
- Effective written and verbal communication skills, with a professional telephone manner and the ability to handle client queries courteously.
- Basic understanding or keen interest in financial services, investments, and protection products; prior experience in a financial or professional services environment is an advantage.
- Ability to prioritize tasks, manage time effectively, and work both independently and as part of a small team in a hybrid setting.
- Commitment to maintaining confidentiality, following regulatory and compliance procedures, and upholding high ethical standards.
- Educated to at least secondary school level; further education or professional qualifications (e.g., in business, finance, or administration) are beneficial.
- Willingness to learn, adapt, and develop within the role, with potential to take on additional responsibilities over time.

- Salary of £20,000 - £30,000, dependent on experience
