We are looking for a personable, organized and proactive Junior Office Manager & Receptionist to join our London team. In this varied role, you will be the welcoming face of our office while supporting the wider team with day-to-day administrative and organizational matters.
You will...
- Welcome and look after clients, visitors and candidates, ensuring a professional and friendly reception
- Manage meeting room bookings and prepare rooms, refreshments and catering
- Keep the reception area, meeting rooms and communal areas tidy and presentable
- Organize team lunches, office celebrations, client meetings
- Handle incoming post, deliveries and couriers
- Research venues, obtain quotes and coordinate event arrangements
- Monitor and replenish refreshments, weekly groceries, stationery, kitchen supplies and other office essentials
- Assist with arranging repairs, maintenance and equipment servicing
- Coordinate with suppliers and run occasional errands
- Book flights, hotels and transport in line with company guidelines
- Assist HR with scheduling interviews and coordinating calendars with candidates, recruiters and colleagues
- Support Operations, HR, the Partners and the wider team with administrative and organizational tasks
- Follow up on outstanding requests and report issues to the Operations and HR Manager
- Help coordinate office improvements and general office projects

We look for...
- Experience in office management, office administration, business administration or a similar role in a corporate environment; experience in financial or professional services is an advantage
- Excellent administrative and organizational skills
- The ability to work under pressure, think independently and prioritize a changing workload
- A friendly, professional and confident manner
- Reliability, discretion, and the ability to handle confidential information
- A proactive approach, with the willingness to take ownership of tasks, see them through and ask questions when needed
- The ability to support colleagues with competing priorities in a busy office environment
- Sound practical judgement and common sense
- Excellent written and spoken English
- Confident use of Microsoft Office, particularly Outlook and PowerPoint
