About the Role

We are looking for a proactive, organised and ambitious Junior Personal Assistant to support our Managing Director across the day-to-day running of the business.

This is an opportunity for someone at an early stage of their career who wants to develop their organisational, communication and administrative skills while gaining direct exposure to senior management and the wider property and construction business.

You will work closely with the Managing Director, helping to manage their diary, coordinate meetings, prepare information, follow up on actions and ensure that day-to-day priorities are organised and progressed efficiently.

This is not a role requiring years of PA experience. We are looking for someone with the right attitude: highly organised, professional, discreet, proactive and willing to learn.

Key Responsibilities

  • Manage and coordinate the Managing Director’s diary, including meetings, appointments and commitments.
  • Arrange meetings, calls, site visits and travel where required.
  • Prepare meeting agendas, documents, presentations and other information for the Managing Director.
  • Take meeting notes and maintain clear records of actions and follow-ups.
  • Follow up with internal teams, consultants, contractors and external contacts on outstanding actions.
  • Assist with managing emails and correspondence, ensuring important matters are highlighted and followed up.
  • Support the Managing Director with day-to-day administrative and organisational tasks.
  • Help prepare reports, spreadsheets, presentations and other business documents.
  • Coordinate information between the Managing Director and different teams across the business.
  • Assist with organising meetings and events, including room bookings, attendees and supporting materials.
  • Maintain organised digital and physical filing systems and ensure important documents are easy to locate.
  • Carry out research and gather information as required by the Managing Director.
  • Assist with personal and business-related tasks where appropriate.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Proactively identify tasks that need to be followed up and ensure they are progressed without constant direction.
  • Provide general administrative support to the Managing Director and wider senior management team when required.

What We’re Looking For

  • Strong organisational skills and excellent attention to detail.
  • Confident and professional communication skills, both written and verbal.
  • Proactive attitude with the ability to anticipate what needs to be done.
  • Ability to manage multiple priorities and keep track of deadlines and follow-ups.
  • Professional, presentable and confident when dealing with senior stakeholders and external contacts.
  • Good working knowledge of Microsoft Office, including Outlook, Word, Excel and PowerPoint.
  • Comfortable learning new systems and processes.
  • High level of discretion and confidentiality.
  • Ability to work independently, take ownership of tasks and use initiative.
  • Positive attitude and willingness to learn and develop.

Previous experience in administration, personal assistance, office coordination, recruitment, hospitality, estate agency or a similar role is helpful, but not essential.

Previous experience supporting a senior executive or director is desirable but not required.
