Junior Process & Talent Acquisition Coordinator

Team: Blended/Client Success

Reporting into: Client Success Lead & Business Operations Manager

Salary: £25,600–£28,500 FTE (pro rata, depending on experience)

Location: South Warwickshire (Hybrid after probation)

Working Hours: 16-20 hours per week (days and times will be discussed at interview)

Job Overview

The Junior Process & Talent Acquisition Coordinator supports the delivery of process management and talent acquisition services to external clients. This is a blended role suited to an organised, detail-oriented individual who enjoys working with information, coordinating tasks, supporting clients, and helping businesses operate more effectively. The role combines lean process auditing, audit reporting, standard operating procedure (SOP) support, recruitment administration, vacancy tracking, and general client coordination. Responsibilities will vary according to client requirements, business priorities, and workload.

Working under the direction of senior colleagues, the successful candidate will complete assigned tasks, maintain accurate records, prepare documentation and reports, and help ensure that client deliverables are completed accurately and on time. This is a junior position offering the opportunity to develop practical experience across two complementary business services: process management and talent acquisition.

Key Responsibilities

Process Management & Lean Auditing

  • Complete lean process and operational audits using established checklists, templates, and guidelines.
  • Gather and organise relevant information to support the completion of client audits.
  • Review existing processes and procedures against agreed audit criteria.
  • Document audit findings clearly, accurately, and consistently.
  • Identify and highlight potential inefficiencies, inconsistencies, missing information, and areas requiring further attention.
  • Prepare structured audit reports outlining findings for review by senior colleagues.
  • Support the preparation, formatting, and updating of standard operating procedures (SOPs).
  • Assist with the organisation and maintenance of process documentation, workflow guides, and related business records.
  • Follow established audit procedures and escalate questions or issues that fall outside the scope of the role.

Talent Acquisition & Recruitment Administration

  • Provide administrative support across client recruitment activities.
  • Maintain accurate vacancy trackers and recruitment spreadsheets.
  • Update candidate records and record recruitment progress as information becomes available.
  • Track vacancy status, application progress, and outstanding recruitment tasks.
  • Check recruitment records for missing information, inconsistencies, and outdated entries.
  • Organise recruitment information so that it remains accurate, accessible, and up to date.
  • Support the preparation of basic recruitment activity reports and progress updates.
  • Assist with general recruitment administration as directed by senior colleagues.

Reporting & Documentation

  • Create, update, and maintain spreadsheets used to track client assignments, audit findings, and recruitment activity.
  • Prepare clear, structured reports using information gathered through audits and recruitment administration.
  • Ensure documentation is presented professionally and follows agreed templates and standards.
  • Maintain accurate records of completed tasks, outstanding work, and relevant progress updates.
  • Check information for completeness and accuracy before submitting reports or documentation for review.
  • Organise digital files and records in accordance with established procedures.
  • Highlight missing information, discrepancies, and potential errors to the appropriate colleague.

Client Coordination & Communication

  • Communicate professionally with clients regarding routine administrative matters.
  • Request missing information and documentation when instructed.
  • Send routine updates and share completed documents as authorised.
  • Follow up on outstanding information and tasks to help maintain progress against agreed deadlines.
  • Maintain clear records of relevant client communications and outstanding actions.
  • Ensure client requests are directed to the appropriate colleague when they fall outside the role's responsibilities.
  • Escalate complex queries, concerns, and issues requiring senior input.

Workload & Assignment Coordination

  • Manage assigned tasks and organise workload according to agreed priorities and deadlines.
  • Coordinate activities across multiple client assignments.
  • Maintain task trackers and monitor the progress of outstanding work.
  • Follow up on outstanding information and administrative tasks where appropriate.
  • Identify potential delays, conflicting priorities, or obstacles and raise them promptly.
  • Keep senior colleagues informed of progress and any issues affecting delivery.
  • Adapt to changing priorities as client requirements and workloads evolve.

General Administrative Support

  • Provide occasional administrative support to the wider business when required.
  • Update internal spreadsheets, records, and documentation.
  • Assist with straightforward organisational and administrative tasks.
  • Maintain accurate records and handle information responsibly.
  • Complete other reasonable duties consistent with the level and purpose of the role.

Authority & Accountability

The Junior Process & Talent Acquisition Coordinator will work under the direction of senior colleagues and within established procedures. The role involves responsibility for completing assigned tasks, maintaining accurate records, documenting findings, and preparing reports for review. The coordinator is expected to identify and highlight potential issues and may suggest straightforward improvements for consideration.

However, the role does not carry independent authority to approve process changes, implement significant operational improvements, make commitments on behalf of clients, or make decisions outside agreed guidelines. Desirable Experience

Previous experience is not essential, as this is a junior position. However, experience or transferable skills gained through any of the following would be advantageous:

  • Recruitment or HR administration.
  • Business operations.
  • Record-keeping and data entry.
  • Spreadsheet management and reporting.
  • Process documentation or quality checking.

Candidates with the right attitude, organisational ability, and willingness to learn will be considered even if they have not previously worked in process management or talent acquisition.
