Vector Media is an independent London media agency, founded in 2025 and based in the heart of Soho. We were built deliberately differently, free from legacy infrastructure and process, to pioneer a service-based partnership model that guarantees delivery for our clients.
Our founding directors bring more than 50 years of combined media experience and have worked together as a team for over a decade. That practitioner-first foundation means clients deal with senior media specialists on every brief, and our team gets to learn directly from people who have built and led media functions at some of the UK's most respected agencies.
We work with ambitious brands across competitive sectors, on campaigns that span TV, video, OOH, audio, print and digital. We're small, senior, and rapidly growing, and we're hiring people who want to do their best work in an environment built to support it.
The Role
We’re looking for a highly organised, proactive and reliable Junior Team PA to support our senior team and help keep the day-to-day running of the agency moving.
This is a hands-on role in a small, fast-growing business, giving you exposure across the leadership team, clients, suppliers and wider agency operations. You’ll be responsible for keeping diaries and meetings organised, making sure people have what they need, and picking up the detail that allows the wider team to focus on their work.
You’ll work closely with senior members of the team and will quickly become someone people rely on. It’s a role for someone early in their career who is naturally organised, commercially aware, confident dealing with people and enjoys making things happen.
Key Responsibilities
Executive & Team Support
- Manage diaries and coordinate internal and external meetings, resolving clashes and making sure the right people are in the room.
- Organise meeting logistics, including agendas, rooms, materials, video calls and follow-up actions.
- Coordinate travel arrangements, itineraries and logistics for senior team members.
- Manage day-to-day correspondence and administrative requests, ensuring actions are followed through.
- Prepare documents, presentations, meeting packs and other materials as required.
- Take clear meeting notes and maintain action lists, making sure follow-ups don't get lost.
- Support the senior team with ad-hoc tasks and projects as priorities arise.
- Act as a reliable point of contact for internal and external stakeholders, representing Vector professionally at all times.

Office & Agency Operations
- Help keep the office organised, welcoming and running smoothly day to day.
- Coordinate office supplies, equipment, deliveries and general administration.
- Liaise with suppliers, building management and external partners where required.
- Help coordinate internal meetings, team events and agency activities.
- Support onboarding and general administration for new starters.
- Help maintain key company documents, records and contact lists.
- Identify and recommend improvements that make the team work more efficiently and organised.
Team & Culture
- Be a positive, approachable and dependable presence within the team.
- Help create an organised, collaborative environment where people can do their best work.
- Take ownership of tasks from start to finish, keeping people updated and flagging issues early.
- Build strong working relationships across the agency and with external contacts.
- Be willing to get stuck in and support wherever the business needs you.

Knowledge and experience
- 1–2 years' experience in a PA, team assistant, office assistant, coordinator or similar role; recent graduates/school leavers with relevant experience will also be considered.
- Highly organised, with excellent attention to detail and a strong sense of ownership.
- Comfortable managing multiple priorities and changing demands in a fast-paced environment.
- Excellent written and verbal communication skills.
- Confident dealing with people at all levels, both internally and externally.
- Discreet and trustworthy when handling confidential information.
- Proactive and practical; you see what needs doing and get on with it.
- Strong working knowledge of Microsoft Office.
- Comfortable learning new systems and processes quickly.
- A genuine interest in media, advertising and the way an ambitious business operates.

- Nothing falls through the cracks; actions are followed up, meetings are organised and deadlines are kept.
- You anticipate what people need rather than waiting to be asked.
- You become a trusted point of contact for the team, clients and suppliers.

- You take ownership of increasingly complex tasks and projects as you grow into the role.
- You contribute to how we work, spotting practical improvements and making the business more organised and efficient.
