The role

Reporting to the Professional Support Counsel (PSC) and Senior Practice Manager (SPM), the Knowledge Management and Practice Assistant supports the PSC across knowledge management, arbitrator selection, training, profile-raising activities and practice management tasks. The role also supports the SPM across associate, counsel and intern resourcing, information, systems and vendor management, institutional memberships, knowledge databases, technical training and firmwide projects.

Responsibilities

Responsibilities will include, but are not limited to:

Knowledge Management

  • Managing the precedent repository, including precedent collection, the contribution incentive framework and monthly outreach to fee earners; conduct paralegal sweeps of concluded matters; add precedents to the database and oversee tagging and taxonomy.
  • Working with the PSC and SPM, manage firmwide and partner institutional memberships, including renewals with LCIA, ICCA, PCA, ICC UAE and ArbitralWomen.
  • Working with the PSC and SPM (where relevant), monitor relevant legal, procedural and market developments relating to arbitration intelligence.
  • Providing junior-level support to the PSC and associates in preparing presentations, speeches, articles and other client-facing materials.
  • Overseeing matter status, record new matter credentials and maintain the firm matter database, including logging updates in coordination with Business Development.

Work allocation

  • Assisting the SPM with associate and counsel resourcing, including the monthly capacity survey, utilisation reporting and cross-office work allocation; support capacity queries, non-respondent check-ins and collation of joiners’ experience and profile backgrounds.
  • Assisting the SPM with intern resourcing, including the bi-weekly capacity survey, monthly utilisation reporting and cross-office work allocation; support non-respondent check-ins and joiners’ experience updates.

Arbitrator selection

  • Working with the PSC and SPM, maintain the arbitrator and expert databases, run the appointment update incentive and manage the intranet submission form; support the PSC in gathering arbitrator intelligence.
  • Track appointment statistics and report annually on compliance with the Arbitrator Shortlist Policy (ASP).
  • Support the PSC with scheduling and other logistics for ad hoc “Meet the Arbitrator” sessions.

Training and professional development

  • Provide logistical and scheduling support for the Practical Training Programme, Investment Treaty Series, ad hoc legal training sessions, Firmwide Fee Earner Meetings, office team meetings, Advocacy and other fee earner training sessions; technical, database, platform and AI-related training; new joiner inductions with the PSC and SPM; and ad hoc internal and client-facing training sessions.
  • Maintain and update training materials on the firm’s intranet.
  • Support the SPM in maintaining the intranet AI knowledge hub and prompt library, and in scheduling training sessions.

Information governance and management

  • Provide junior-level support to the SPM in managing the firm’s subscriptions estate and third-party vendor relationships.
  • Support the SPM with joiner and leaver access, access streamlining projects and user-limit tracking across subscriptions.
  • Provide junior-level support to the SPM in running firmwide surveys, including IT, database and practice surveys.

Strategic, Firmwide & External Engagement

  • Support the PSC and SPM with firmwide projects, including retreats and office launches, and with other ad hoc projects.

Skills and knowledge

The successful candidate will bring:

  • Prior experience in a law firm or professional-services practice-support role; experience of international arbitration practice is desirable.
  • Strong organisation and attention to detail, with the ability to manage competing deadlines and priorities across offices.
  • Discretion and sound judgement in handling confidential and privileged material.
  • The ability to build strong relationships and work collaboratively across offices and teams.
  • Confidence using Microsoft Office, iManage and legal research databases, including Westlaw UK and Lexis+.
  • Clear written and verbal communication skills when working with fee earners and business-services teams.
  • An interest in knowledge management, legal technology or AI tools.
