Law Department Administrator
We are looking for an experienced, highly organised, and proactive Law Department Administrator to provide comprehensive support to the General Counsel and wider EMEA Legal Team across OSI's Security, Medical, and Optoelectronics divisions.
This is a pivotal position within the legal function, offering the opportunity to work closely with senior leaders across Europe, the Middle East, and Africa. You will act as a trusted partner to the General Counsel, helping to ensure the smooth operation of the legal department through exceptional organisational skills, discretion, and attention to detail.
The successful candidate will thrive in a fast-paced, international environment and be comfortable managing multiple priorities across different jurisdictions, time zones, and cultures.
Key Responsibilities
Executive Support
- Provide dedicated executive and administrative support to the General Counsel.
- Manage complex international calendars, scheduling, and travel arrangements.
- Coordinate internal and external meetings across multiple jurisdictions.
- Prepare agendas, presentations, briefing documents, and meeting materials.
- Manage correspondence and ensure timely follow-up on actions and commitments.
- Monitor key deadlines, approvals, and departmental priorities.
Legal Operations
- Support the day-to-day administration of the EMEA legal function.
- Maintain reporting schedules, key milestones, and departmental calendars.
- Assist with legal budget management, invoice processing, and spend reporting.
- Coordinate the engagement of external law firms and legal service providers.
- Maintain legal templates, policies, and document repositories.

Corporate Governance
- Support board and governance activities across multiple legal entities.
- Assist with board meetings, corporate resolutions, and record maintenance.
- Coordinate signature processes, powers of attorney, notarisation, and legalisation requirements.
- Support annual statutory filings and corporate compliance obligations.
- Maintain accurate corporate records across multiple international jurisdictions.
Contract & Document Management
- Coordinate contract execution and approval workflows.
- Maintain contract databases and document management systems.
- Monitor contract renewals and key contractual obligations.
- Ensure effective document retention, integrity, and version control.
Stakeholder Engagement
- Serve as a key point of contact for senior executives, business leaders, and external advisors.
- Build strong working relationships across regional management teams.
- Coordinate interactions with regulators, government authorities, and external legal counsel.
- Facilitate effective communication and information flow across the legal function.
Project & Compliance Support
- Assist with legal projects, compliance initiatives, corporate transactions, and M&A activities.
- Coordinate legal training and awareness programmes.
- Support audit and investigation requests.
- Prepare reports, dashboards, and presentations for senior management.

Essential Experience & Skills
- Significant experience supporting senior executives within a corporate environment.
- Experience supporting General Counsel, Chief Legal Officers, or senior legal leaders.
- Previous experience within a legal department, legal services environment, or international law firm.
- Experience working within a multinational or global organisation.
- Strong understanding of legal operations and corporate governance practices.
- Advanced proficiency in Microsoft Office, Teams, SharePoint, and document management systems.
- Outstanding organisational, planning, and prioritisation skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to manage multiple competing priorities.
Desirable Experience
- Experience supporting a regional or global General Counsel.
- International corporate governance experience.
- Exposure to legal and regulatory environments across Europe, the Middle East, and Africa.
- Experience managing external legal counsel relationships and legal budgets.
- Arabic language skills would be advantageous but are not essential.
