Tasks
- Lead the day-to-day operation of the Information Control function, providing operational leadership and line management to the Information Control team.
- Allocate and prioritise Information Control workloads, monitor capacity and performance, and ensure appropriate coverage to meet project and contractual requirements.
- Provide coaching, mentoring, and development to Information Controllers, including performance management and support for competency development.
- Oversee document and information control activities throughout the information lifecycle, including receipt, validation, registration, distribution, transmittal, revision, status, and records management.
- Oversee the correct operation of ProjectWise information control workflows and ensure project teams, suppliers, and Information Controllers follow agreed processes and work instructions.
- Undertake and oversee quality assurance checks to confirm information is correctly named, classified, revised, statused, and attributed with the required metadata before formal exchange or acceptance.
- Manage incoming and outgoing information exchanges with the Client, designers, suppliers, subcontractors, and other stakeholders, ensuring packages are complete, traceable, and processed within agreed timescales.
- Act as the primary operational point of contact for Information Control matters, resolving queries and escalating material issues to Information Management or project leadership as appropriate.
- Coordinate with Information Management and Information Systems/CDE colleagues to resolve workflow, access, permission, or system issues affecting controlled information processes, without assuming ownership of technical system configuration.
- Develop, maintain, and implement Information Control procedures, work instructions, registers, trackers, and workflow guidance in line with project requirements.
- Monitor Information Control queues, overdue actions, exceptions, and quality trends, and provide clear performance reporting to Information Management and project leadership.
- Support the onboarding of project teams and supply-chain organisations into agreed Information Control processes and deliver or coordinate training on ProjectWise workflows and control requirements.
- Maintain effective audit trails and records of formal information exchanges, supporting assurance, handover, and project close-out activities.
- Work closely with project leads, the Client, and supply chain to promote consistent application of information control requirements and timely resolution of non-compliant submissions.
- Liaise with other Information Management teams across the business to support standardisation, continuous improvement, and sharing of information control best practice.

Qualifications

- Substantial experience in Information Control / Document Control on major construction, infrastructure, or similarly complex projects, including experience in a senior or lead capacity.
- Demonstrable experience of leading, supervising, or line managing Information Controllers / Document Controllers, including workload allocation, coaching, and performance support.
- Strong operational experience of Bentley ProjectWise, including controlled workflows, transmittals, metadata, revision/status management, and formal information exchange.
- Strong knowledge of document and information control principles, including registration, distribution, revision control, status control, metadata management, audit trails, and records management.
- Good working knowledge of ISO 19650 principles and their practical application to information control within a Common Data Environment.
- Experience coordinating formal information exchanges with clients, designers, suppliers, and subcontractors and resolving incomplete or non-compliant submissions.
- Strong quality-assurance mindset with the ability to identify information-control errors, apply project requirements consistently, and escalate material issues appropriately.
- Ability to effectively communicate with internal and external project teams, including clients, suppliers, and senior stakeholders.
- Strong organisational, planning, and prioritisation skills, with the ability to manage competing workloads across a busy project environment.
- Experience developing, maintaining, and implementing information-control procedures, work instructions, registers, trackers, and workflow guidance.
- Ability to coach, train, and support users and Information Control team members in agreed processes and ProjectWise workflows.
- Strong working knowledge of Microsoft Excel and other Microsoft Office products for registers, reporting, analysis, and day-to-day information-control activities.
