RXO is seeking an experienced and highly organised VRET Operations Team Leader to manage the day-to-day execution of our Vendor Returns (VRET) operation. This role is responsible for leading a team of operational administrators and coordinators while ensuring the efficient movement, tracking and return of customer inventory through the RXO network.

The successful candidate will act as the central point of coordination between warehouse operations, transport planning, customer service teams, technology partners and senior management to ensure service excellence, inventory accuracy and timely delivery performance.

The role requires a proactive leader capable of driving operational excellence, implementing process improvements and maintaining strong stakeholder relationships within a fast-paced logistics environment.

Logistics Leadership & Operational Coordination

  • Lead the day-to-day coordination of the Amazon VRET operation, ensuring delivery aligns with agreed customer expectations and service requirements.
  • Manage daily operational workflow, ensuring service levels and customer commitments are achieved.
  • Monitor workload, productivity and operational KPIs across the team.
  • Provide guidance and direction to team members and operational stakeholders supporting the VRET operation, ensuring service consistency and operational excellence.
  • Act as the escalation point for operational issues, customer concerns and service risks relating to the VRET activity.

Amazon VRET Operational Management

  • Oversee the end-to-end Vendor Returns process from inventory receipt through to final customer delivery.
  • Ensure inventory records are maintained accurately and exceptions are investigated and resolved promptly.
  • Coordinate inbound inventory flows and outbound delivery schedules to maximise operational efficiency.
  • Monitor inventory levels, storage capacity and throughput performance.
  • Support continuous development of VRET operating procedures, operational governance and best practices.

Customer & Delivery Management

  • Ensure customer delivery appointments are arranged and managed within agreed service levels.
  • Maintain excellent relationships with Amazon customer stakeholders, warehouse partners and transport providers.
  • Manage exception activity, including failed deliveries, customer refusals, inventory discrepancies and delivery rebooking requirements.
  • Ensure all customer communication is professional, timely and solution focused.

Warehouse & Transport Coordination

  • Liaise closely with warehouse operations and transport planning teams to coordinate inventory movement and outbound delivery activity.
  • Support trailer management, inventory tracking and warehouse capacity planning.
  • Assist with delivery scheduling and resource planning during peak operational periods.
  • Work collaboratively with operational stakeholders to resolve capacity constraints and service challenges.

Continuous Improvement & Reporting

  • Analyse operational performance data and identify opportunities for improvement.
  • Produce and maintain operational reports, dashboards and tracking tools.
  • Support automation and technology initiatives that improve operational accuracy and efficiency.
  • Develop and implement new procedures to improve service quality and operational productivity.
  • Ensure compliance with all company processes, SOPs and customer requirements.

Stakeholder Management

  • Build strong working relationships with internal departments including Operations, Planning, Customer Service, IT and Finance.
  • Support external relationships with Amazon customer stakeholders, ensuring clear communication, strong engagement and effective resolution of service matters.
  • Support operational reviews and business performance meetings.
  • Provide timely updates and management information to senior leadership.
  • Coordinate operational activities across multiple sites, customers and service providers.

  • Experience supporting customer stakeholder relationships and operational performance reviews.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Experience using Microsoft Office applications, particularly Excel and Outlook.
  • Strong reporting and analytical skills.
