About the role:
Provides operational and administrative support for Leave of Absence, Capability Management, and employee benefits programmes. Acts as a key point of contact for employees, managers, HR, and third-party providers, ensuring leave cases and benefits processes are administered accurately, efficiently, and in compliance with company policies and statutory requirements. Supports case management activities, maintains employee records, coordinates documentation, and assists with employee enquiries throughout the absence and return-to-work lifecycle.
What you will be doing:
- Administers employee leave of absence programmes including sickness absence, family leave, statutory leave, disability-related absences, and other approved leave types, ensuring cases are managed accurately and in accordance with company policies and applicable legislation.
- Provides administrative support for capability and attendance management processes, maintaining accurate records, tracking case progress, coordinating documentation, and supporting managers throughout formal and informal processes.
- Acts as a primary point of contact for employees and managers regarding leave, absence, capability, and benefits enquiries, providing guidance on processes, documentation requirements, and available support resources.
- Coordinates with external vendors, occupational health providers, benefits administrators, payroll teams, and HR colleagues to ensure timely case management, data accuracy, and seamless employee support.
- Maintains employee absence and benefits records within HR systems, ensuring data integrity, confidentiality, and compliance with internal controls and regulatory requirements.
- Monitors key dates and milestones within leave and capability cases, including medical reviews, return-to-work activities, capability meetings, and benefit continuation requirements.
- Prepares correspondence, case documentation, reports, and audit materials to support operational, compliance, and management reporting requirements.
- Supports leave administration processes including employee notifications, benefit impacts, payroll coordination, and return-to-work activities.
- Identifies opportunities to improve administrative processes, increase efficiency, and enhance the employee experience through standardisation, documentation updates, and process improvements.
- Produces routine reporting and data analysis relating to absence trends, leave utilisation, case volumes, and service delivery metrics.
- Ensures all activities are conducted in accordance with company policies, employment legislation, data privacy requirements, and established service level expectations.

What you bring:
Developing individual contributor role working under general supervision. Responsible for the effective administration and coordination of leave of absence, capability management, and benefits processes. Applies established policies, procedures, and guidelines to resolve routine and moderately complex issues, escalating more complex matters as appropriate. Regularly interacts with employees, managers, HR colleagues, payroll, and external providers to provide guidance, gather information, and ensure timely case progression. Success in the role is measured through the accurate administration of cases, quality of employee support, regulatory compliance, and achievement of operational service levels. Requires practical knowledge of leave administration, employee benefits, capability management processes, HR operations, and case management practices typically gained through a combination of relevant education and professional experience. Knowledge of UK and Polish leave of absence employment law is preferred, familiarity with the Polish language would be beneficial.
