The Role
The Administrative Assistant will support UK-based Partners and Associate Attorneys within Mullen Coughlin's Data Privacy Practice. The role requires close collaboration with both the UK and U.S. teams, serving as part of a cohesive administrative and intake function that supports the firm's international practice. This is a full-time, hybrid position based in London, with a schedule of 9:00 a.m. to 6:00 p.m. BST (including a one-hour lunch break) and a requirement to work in the office a minimum of three days per week.

Responsibilities
- Provide administrative support to UK-based Partners and Associate Attorneys.
- Manage calendars, scheduling, and meeting coordination across multiple time zones.
- Prepare, format, proofread, and distribute legal documents, correspondence, and other materials.
- Maintain electronic filing systems in accordance with firm procedures.
- Assist with communication triage and ensure timely follow-up on attorney and client requests.
- Support client intake, matter management, and case administration processes.
- Coordinate travel arrangements, expense reporting, and other administrative tasks as needed.
- Work collaboratively with the UK and US based administrative and intake teams to provide seamless support across the firm's international practice.
- Handle confidential and sensitive information with professionalism and discretion.
- Support additional projects and operational initiatives assigned.
Preferred Experience, Skills, and Qualifications

- 4+ years of experience as a Practice Assistant, Legal Secretary, or in a similar legal support role.
- Knowledge of legal terminology, legal documents, and legal processes.
- Strong proficiency with Microsoft Office applications, document management systems, and database software.
- Excellent written and verbal communication skills.
- Strong proofreading and document review abilities.
- Exceptional organizational skills, including filing, communication triage, and proactive calendar management.
- Strong time management skills and the ability to manage competing priorities effectively.
- Ability to work both independently and collaboratively within a team environment.
