Position: Legal Administrator

About the Role RZ Immigration Practice LTD is looking for a Legal Administrator to join our team in Uxbridge.

This role is ideal for someone with a legal background who has strong communication skills, good attention to detail and a professional approach to dealing with clients.

The successful candidate will be responsible for handling incoming calls, assisting clients with basic enquiries, providing updates and supporting the day-to-day administration of the office.

Key Responsibilities

  • Answer incoming telephone calls professionally and courteously.
  • Understand clients' basic concerns and respond appropriately using a legal and professional mindset.
  • Identify when an enquiry is routine and when it needs to be referred to an immigration adviser.
  • Provide clients with updates regarding the progress of their matter where appropriate.
  • Communicate with clients by telephone, email and other communication channels.
  • Take accurate messages and ensure enquiries are passed to the appropriate member of the team.
  • Maintain accurate client and office records.
  • Organise documents and maintain an efficient filing system.
  • Assist with appointments, diaries and general office administration.
  • Follow up with clients when information or documents are required.
  • Support the wider team with general administrative tasks.
  • Maintain a high level of confidentiality when handling client information.

Requirements

  • Previous experience in a legal or professional services environment.
  • A legal background or relevant legal qualification is preferred.
  • Excellent telephone and communication skills.
  • Professional, polite and confident manner when dealing with clients.
  • Strong attention to detail and organisational skills.
  • Ability to understand a client's concern and determine the appropriate next step.
  • Ability to work independently and as part of a team.
  • Good written and spoken English.
  • Good computer and administrative skills.
  • Understanding of confidentiality and professional standards.
