To be successful you will have a strong secretarial and administration background. In addition, you will be a well organised self-starter who is able to work independently to ensure that tasks are completed to a high standard. Confidence in dealing with clients in a professional manner, both on the telephone and in person, is essential.

Key tasks include but not limited to:

  • Deal with routine client correspondence.
  • Providing monthly client updates on matter progression.
  • Providing monthly costs for matters.
  • Managing matter lists.
  • Preparing bills and managing debtor lists.
  • Managing archiving of matters.
  • Opening, closing and ongoing orderly maintaining of all files in accordance with firm’s quality standards and Lexcel compliance.
  • Handling correspondence from court and Land registry.
  • Preparing bills for the department.
  • Responsible for the organisation, safe custodian and release of Wills, Lasting Power of Attorney’s, Probates and other associated legal documents.
  • Attend to clients both in person and on the telephone in a manner in keeping with the firm’s high standard of client care.
  • Create and maintain client records on the firm’s database ensuring that all correspondence and file notes are recorded on the system, in accordance with HCB’s and Lexcel’s requirements.
  • Ability to liaise with other departments and offices across HCB Network.
  • Produce client correspondence and enclosures for mailing including client bills.
  • Ensure the confidentiality of the client and firm’s information and documentation at all times.
  • Maintain client hard copy files including copying, storage and retrieval of information.
  • Request payments, record receipts of client monies. And liaising with the accounts department
  • Handling overflow client calls
  • Other duties as required to ensure the efficient running of the office.
