We are seeking a Legal Operations Specialist to support and optimize operations across our U.S.-based personal injury law firm with a global team. This role is ideal for a candidate with a strong legal background, hands-on personal injury experience, and advanced knowledge of Filevine, who also brings a tech-minded and automation-focused mindset.
This person will help improve workflows, support legal teams, build scalable processes, contribute to AI and automation initiatives, and strengthen operational excellence across pre-litigation and related legal support functions.

Key Responsibilities
Legal Operations & Workflow Improvement
- Ensure tasks, records, and case activity are properly documented and traceable in Filevine
- Filevine Administration & Process Support
- Support and improve personal injury workflows from intake through pre-litigation and litigation support
- Build, document, and optimize legal processes, SOPs, and internal playbooks
- Improve operational consistency across U.S. and global teams
- Serve as a strong Filevine power user / process leader
- Support document organization, relabeling, task reassignment, auditing, and workflow hygiene
- Help maintain templates, case flows, data-entry standards, and operational best practices
- Train team members on Filevine processes and case workflow usage
AI / Automation / Legal Tech
- Identify opportunities to use AI and automation to improve speed, quality, and efficiency
- Evaluate and support tools related to: document drafting, summarization, legal workflow automation, reporting, and process monitoring.
- Collaborate with legal operations and tech stakeholders to implement scalable solutions
- Help translate legal workflows into automations, process logic, or improved tooling
Training & Cross-Functional Support
- Train and guide staff on operational workflows, Filevine usage, and process expectations
- Partner with legal, operations, QA, and tech teams to identify gaps and improve execution
- Support onboarding and follow-up training for new team members

Required Qualifications
- Personal injury law experience is required
- Filevine experience is required
- Exposure to AI tools, legal-tech platforms, automation tools, or systems implementation
- Strong background in legal operations, case management, or legal process improvement
- Legal background required, such as law degree, or equivalent substantial legal operations / legal casework experience
- Experience with U.S. personal injury workflows, including some combination of: intake, pre-litigation, claims setup, medical records, litigation handoff, and escalations.
- Strong organizational, analytical, and process-improvement mindset
- Comfortable working with a global team in a fast-paced law firm environment
- Strong written and verbal communication skills
Preferred Qualifications
- Experience training case managers, legal assistants, or legal teams
- Experience auditing workflows or improving team performance through process design
- Technical mindset or background in development, logic-building, integrations, or systems thinking
- Experience working across multiple U.S. states in personal injury matters
- Experience with related tools such as CRM systems, legal-tech platforms, or reporting tools
Salary Rate: $10 - $20 USD per hour depending on experience
Working hours: 8:00 am to 5:00 pm EST Time, Monday to Friday. (40 hours weekly)
