Overview

Our client, an established international law firm, is seeking an experienced Legal PA to provide proactive PA support to partners and fee earners within a disputes team.

The role covers diary and travel management, financial administration, matter management, client onboarding, file management, and business development support. You will work closely with teams including Finance, Business Development, Onboarding, and Document Production to ensure work is delivered accurately and efficiently.

Responsibilities

  • Support financial administration, including client billing and reporting, matter balances, working capital, and work in progress.
  • Coordinate business development activity, including events, conferences, CRM administration, fee earner CVs, credentials, bids, tenders, and client reporting.
  • Manage matter administration, including rates, engagement letters, matter specifications, and liaison with onboarding teams.
  • Complete conflict checks and client due diligence processes accurately and in line with required procedures.
  • Manage file processes from opening through to closure, including outstanding bills, client balances, work in progress, and archiving.
  • Provide comprehensive diary management, forward planning, meeting coordination, and complex travel arrangements, identifying cost-efficient options where appropriate.
  • Prepare meeting packs, itineraries, room bookings, and hospitality requirements.
  • Coordinate administrative and document production tasks, including pitch and tender documents, legal document amendments, and transcripts, while following risk and compliance requirements.

  • At least three years' experience, or equivalent, gained within a comparable environment and at an appropriate level.
  • Excellent written and verbal communication skills, including strong grammar and punctuation.
  • High level of competence using Microsoft Office.
  • Proven experience delivering exceptional client service.
  • Strong attention to detail and experience working in a fast-paced office environment.
  • Ability to work effectively both independently and collaboratively as part of a team.
  • Willingness to work flexibly to meet client needs.
  • Commitment to delivering work to a high standard and meeting expectations and goals.
