Owen Reed is looking for a highly organised, proactive, and experienced Legal PA to join the Corporate team of a prestigious law firm.

The successful candidate will provide high-quality PA support to a team of partners and fee earners, helping them operate efficiently and deliver an exceptional service to clients. This is a varied and fast-paced role requiring excellent organisation, strong attention to detail, and the confidence to manage responsibilities independently while working collaboratively with teams across the firm.

Key Responsibilities

  • Provide proactive and comprehensive PA support to partners and fee earners within the Corporate team.
  • Work collaboratively with Finance teams to support fee earners’ financial performance, including client billing and reporting, matter balance management, and working capital.
  • Liaise closely with Business Development to organise events and conferences, maintain CRM records, prepare and update fee earner CVs, use the Business Development Hub and credentials database, and assist with bids, tenders, and pilots.
  • Support Client Relationship Partners and the Business Development team with core team and relationship meetings, events, and regular client reports where required.
  • Manage matter-opening processes, including applying the correct rates, preparing engagement letters and matter specifications, and liaising with the Onboarding team.
  • Complete conflict checks, Client Due Diligence, and the end-to-end Client Matter Inception process in accordance with firmwide best-practice protocols.
  • Manage file processes accurately, including identifying matters for closure, confirming bills have been paid, clearing client balances and work in progress, and arranging the archiving of completed files.
  • Provide comprehensive diary management, including forward planning, arranging meetings and travel, identifying potential clashes, and resolving them independently where appropriate.
  • Research and recommend cost-effective options for complex travel arrangements.
  • Ensure all meeting requirements are identified and actioned, including preparing meeting packs and itineraries and arranging rooms and hospitality.
  • Use the Cube for administrative tasks, taking ownership to ensure work is completed accurately and delivered to fee earners on time.
  • Delegate appropriate work to Document Production, including pitch and tender documents and the conversion and amendment of legal documents and transcripts.
  • Demonstrate strong technical competence, proactively identifying and addressing knowledge gaps.
  • Follow the firm’s risk and compliance policies and procedures, raising any concerns promptly with the relevant partner or the Risk and Compliance team.
  • Complete all compulsory firm training and return complaints and claims questionnaires within the required timescales.

  • At least three years’ experience, or equivalent, gained at an appropriate level within a comparable professional environment.
  • Excellent written and verbal communication skills, with a strong command of grammar and punctuation.
  • Advanced competence in the Microsoft Office suite.
  • Proven experience of delivering exceptional client service.
  • Meticulous, detail-focused, and comfortable working in a fast-paced office environment.
  • Able to work effectively and collaboratively as part of a team while also managing responsibilities independently.
  • Proactive, dependable, and committed to exceeding expectations and achieving goals.
  • Flexible and willing to adapt working arrangements to meet client needs.
