Legal Receptionist & Client Services Coordinator

Salary of £26,227.50 per annum

We’re working with a well-established commercial law firm in Manchester who are looking for a Legal Receptionist & Client Services Coordinator to join their Central Services team. This is a key front-of-house role where you’ll be the first point of contact for clients, visitors and callers, helping to create a welcoming, professional and efficient environment.

Reporting to the Operations Manager, you’ll take responsibility for the day-to-day running of reception and meeting room facilities, alongside a range of office, hospitality and client services responsibilities.

Your day-to-day:

  • Welcome clients, visitors and suppliers, ensuring a professional and friendly first impression
  • Manage visitor sign-in, security passes and access procedures
  • Answer, screen and transfer incoming calls, taking and distributing messages accurately
  • Coordinate meeting room bookings and prepare rooms for meetings, training sessions and events
  • Arrange different meeting room layouts and ensure rooms are stocked with refreshments and stationery
  • Organise catering, hospitality and refreshments for meetings and client events
  • Monitor and replenish kitchen, meeting room and hospitality supplies, placing orders when required
  • Receive and distribute post, deliveries and courier items, as well as coordinating courier bookings
  • Support travel bookings and other administrative requirements as needed
  • Keep reception, meeting rooms, kitchens and other front-of-house areas clean, organised and well presented
  • Raise facilities, maintenance and building issues with the Operations Manager
  • Process cash receipts and supporting paperwork for the Accounts team
  • Support client events, networking functions, seminars and internal events, including set-up and clear-down
  • Follow confidentiality, GDPR, security, health and safety and visitor management procedures

What we’re looking for:

  • Previous experience in reception, front-of-house, telephony or another customer-facing role
  • Excellent verbal and written communication skills with a professional telephone manner
  • A professional and approachable manner when dealing with clients, visitors and colleagues
  • Strong organisational and time-management skills
  • Comfortable handling confidential information with discretion
  • Reliable, punctual, proactive and flexible, with the ability to manage competing priorities
  • A good team player with a focus on providing a positive client experience
  • Experience within a legal, professional services or corporate environment would be advantageous
  • Experience with telephone switchboards, meeting coordination and Microsoft Outlook would also be useful
