Role Overview

You will play a pivotal role in keeping leasehold sales and purchases moving smoothly, acting as the go-to contact for sellers, buyers, estate agents, and solicitors. You’ll prepare and issue information packs, answer pre-sale enquiries, process assignments, and ensure our records and finances are updated accurately at completion. Your work will reduce delays, keep residents informed, and safeguard compliance for every transaction across our managed developments.

To set you up for success, you will be office-based in Hemel Hempstead for your first six months for hands-on training, coaching, and close team support. After that, you’ll move to a hybrid pattern with two days per week in the office. As part of the Odevo Group, you’ll benefit from established systems, clear processes, and a supportive team culture that values accuracy, ownership, and great service.

ROLE EXPECTATIONS

Most days, you will manage a busy shared inbox, triage and respond to solicitor and agent enquiries, and compile accurate, timely sales information packs. You’ll track cases from instruction to completion, raise and reconcile fees, update core systems, and keep stakeholders informed so every sale progresses without unnecessary delay.

  • Information packs issued accurately and on time, with minimal follow-up required.
  • Clear, proactive updates to residents, solicitors, and agents that keep cases moving.
  • All fees, apportionments, and completion statements raised, reconciled, and recorded correctly.
  • Case files fully documented with an auditable trail that meets company and legal standards.
  • Inbox managed efficiently with priorities clear and agreed SLAs consistently met or exceeded.
  • Positive feedback from stakeholders and fewer escalations due to your thoroughness and ownership.

How You'll Spend Most Of Your Time

  • Preparing and issuing sales information packs (e.g., LPE1/FME1) and supporting documents.
  • Responding to pre-sale enquiries and coordinating information from internal teams and suppliers.
  • Processing assignments, consents, and deeds, and updating owner and property records on our systems.
  • Calculating apportionments, raising invoices and receipts, and reconciling fees at completion.
  • Managing a shared inbox, prioritizing tasks, and keeping a clear, accurate case pipeline.
  • Chasing outstanding information and providing timely status updates to solicitors, agents, and residents.

Who This Role Is For

  • You are detail-focused, organised, and comfortable juggling multiple cases to tight timelines.
  • You communicate clearly and professionally, adapting your approach for residents, agents, and solicitors.
  • You enjoy structured processes and take pride in accurate documentation and data integrity.
  • You stay calm under pressure, solve problems proactively, and follow through to completion.

Experience That Helps

  • Experience in property management, conveyancing administration, or an estate agency support role.
  • Familiarity with leasehold sales processes, assignments, service charge apportionments, and related documents.
  • Working with CRMs or case management systems, plus confident use of Outlook and Excel.
  • Experience in a deadline-driven, customer-focused office environment with SLAs and shared inboxes.
  • Handling sensitive information and maintaining compliance and audit-ready records.
