Legal & Risk Team Data Administrator

  • Location: Hybrid working with attendance at the head office located in Burgess Hill or a Brainkind service located in the UK
  • Salary: Up to £26,300 DOE per annum (pro rata 4 days per week)
  • Hours: 35 hours per week
  • Contract Type: Full-time; FTC for 6 months, with view to going permanent thereafter

Role Overview

We are seeking a highly organised and proactive Legal Data Administrator to support our in-house legal and risk team. Reporting directly to the General Counsel, you will assist with a wide range of data and risk-related administrative tasks. This is a fantastic opportunity for someone looking to develop their career in legal and compliance within the charity sector. We are looking for someone who can bring energy and commitment to the role, and work as part of the Legal team to best support Brainkind. No prior legal experience is necessary, but familiarity with working with data requests especially SARs and RFIs, including court orders, would be helpful.

Key Responsibilities

  • Provide administrative support to the General Counsel and wider legal and risk team, including triaging emails, organising files and drafting correspondence.
  • Monitor data requests received, and liaise with colleagues on Datix system requests for SARs and RFIs.
  • Maintain and update legal compliance, data protection, and relevant external registers.
  • Support the implementation and monitoring of internal policies and procedures which relate to Datix system and data requests.
  • Help prepare documentation for data audits, committees, board meetings, and regulatory submissions.
  • Liaise with internal teams to gather information for data compliance matters.
  • Manage document filing systems, ensuring confidentiality and compliance with applicable data protection laws.
  • Supported Data Protection Officer, and support in preparing all documentation for internal and external data processes.
  • Assist with contract administration, including setting up of a system to reflect accurate logging, tracking, maintaining and filing of data assessments, DPIAs, external data scoping documents and data agreements.
  • Monitor regulatory updates and flag relevant changes to the DPO and legal and risk team.
  • Support ad hoc projects related to governance, risk management, and data compliance.
  • Understand organisational policies and procedures to ensure appropriate decision-making protocols are followed by the relevant teams.

Person Specification

Essential:

  • Awareness of data requirements, including GDPR, and data protection functions.
  • Strong administrative and organisational skills.
  • Excellent attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint, Teams).
  • Strong written and verbal communication skills.
  • Proactive, self-motivated, and able to manage multiple tasks.
  • Flexible, adaptable and a good team player.

Desirable:

  • Previous experience in a data, legal, compliance, or governance role.
  • Understanding of charity law, data protection (UK GDPR), or other regulatory frameworks.
  • Experience working in the not-for-profit or public sector.
