Overview

We are seeking an experienced, highly organised and detail-oriented Conveyancing Legal Secretary to join our busy Conveyancing Department.

The successful candidate will provide comprehensive secretarial and administrative support to our conveyancing fee earners, assisting with the smooth and efficient progression of residential/commercial conveyancing matters.

Previous experience working within a conveyancing department is a mandatory requirement for this role. Applicants must have a good working knowledge of the conveyancing process, terminology and documentation and be confident supporting fee earners with a busy caseload.

Duties

  • Provide comprehensive secretarial and administrative support to conveyancing fee earners across a range of residential property matters.
  • Prepare, proofread and format legal documents, correspondence, forms and reports accurately and efficiently.
  • Undertake audio typing and transcription of correspondence and legal documents, maintaining a high level of accuracy.
  • Assist with the day-to-day progression of conveyancing matters, including sales, purchases, remortgages and transfers of equity.
  • Liaise professionally with clients, estate agents, solicitors, lenders and other third parties by telephone and email.
  • Deal with incoming telephone calls and correspondence, taking accurate messages and responding to routine enquiries where appropriate.
  • Use the firm's Case Management System to maintain accurate and up-to-date matter information, correspondence and documentation.
  • Assist with opening, maintaining and closing files in accordance with the firm's procedures.
  • Maintain organised electronic and physical filing systems and ensure documents are stored correctly and can be easily retrieved.
  • Assist fee earners with preparing documentation throughout the conveyancing transaction and in readiness for exchange and completion.
  • Manage diaries, appointments and key dates where required.
  • Provide general administrative support to the Conveyancing Department and assist colleagues when necessary.
  • Ensure client confidentiality and compliance with the firm's policies and procedures at all times.

Qualifications & Experience

Essential

  • Previous experience working within a conveyancing department is mandatory.
  • A good working knowledge and understanding of the residential conveyancing process.
  • Previous experience in a Legal Secretary, Conveyancing Secretary or similar legal support role.
  • Excellent audio typing skills with a high level of speed and accuracy.
  • Strong written and verbal communication skills.
  • The ability to communicate professionally and confidently with clients, solicitors, estate agents and other third parties.
  • Excellent organisational and time-management skills, with the ability to prioritise a busy workload and manage multiple tasks.
  • Excellent attention to detail and a high standard of accuracy.
  • Confidence using case management systems and other IT systems relevant to a legal environment.
  • The ability to work effectively both independently and as part of a busy team.

Desirable

  • Good working knowledge of Microsoft Office, including Word, Outlook and Excel.
  • Experience using electronic conveyancing and legal systems.
  • Experience supporting fee earners with a varied residential conveyancing caseload.

We are looking for someone who is proactive, reliable and professional, with a positive approach to their work and a genuine understanding of the demands of a busy conveyancing department.

Please note that previous conveyancing experience is an essential requirement for this position. Applications from candidates without previous conveyancing experience will not be considered.
