AJ Chambers are working with an established specialist Law firm who are based just outside of Liverpool Street.
The firm is highly regarded by leading legal directories and prides itself on its forward-thinking approach, collegiate culture and supportive working environment.
The Role
They are looking for an experienced Legal Secretary to join the London team, providing high-quality secretarial and administrative support to a group of fee earners, predominantly within the Employment team.
This is a varied role offering the opportunity to work closely with lawyers, clients and internal teams while playing an important part in ensuring matters are managed efficiently from opening through to completion.
Key Responsibilities
- Providing day-to-day secretarial support to up to six fee earners.
- Supporting monthly billing, including preparing and amending billing guides, transferring time and raising invoices.
- Raising manual e-bills and Money on Account requests.
- Assisting with credit control alongside fee earners and the Finance team.
- Maintaining accurate and up-to-date electronic files throughout the lifecycle of matters.
- Producing correspondence, emails, attendance notes and other documents through copy and limited audio typing.
- Preparing legal documents, including employment tribunal forms and visa applications.
- Opening new client files and supporting client onboarding, including AML and compliance requirements.
- Managing incoming calls and providing reception support when required.
- Liaising with clients to obtain documentation, arrange appointments and provide updates.
- Communicating with HR contacts and other external parties.
- Arranging and preparing for Settlement Agreement appointments.
- Working closely with Accounts and Compliance as required.
- Managing diaries and coordinating meetings, travel, couriers and taxis.
- Preparing and printing Tribunal bundles and lodging documents with Courts or Tribunals when required.
- Greeting clients and assisting with client meetings and team events.
- Keeping electronic filing and general office administration organised and up to date.
- Supporting the wider team with ad hoc administrative duties.

About You

They are looking for someone who is organised, proactive and confident working in a busy legal environment. You will ideally have previous experience as a Legal Secretary or Legal PA, preferably within employment or another contentious legal practice.
You will have excellent attention to detail, strong communication skills and the ability to manage competing priorities while providing a professional and client-focused service.
