We are looking for a talented Legal Secretary to join our Employment, Pensions & Immigration (EPI) team in Newcastle. This is an excellent opportunity for an organised and proactive professional who enjoys working in a fast-paced environment, providing high-quality support to lawyers and helping deliver outstanding service to clients.

This role offers variety, responsibility and the chance to become a key member of a highly regarded team, supporting both day-to-day legal operations and client-focused activities.

Key Responsibilities

As a Legal Secretary, you will provide comprehensive secretarial and administrative support to lawyers within the Newcastle office, while also assisting wider practice groups where required.

Key duties will include:

  • Supporting lawyers with day-to-day client and matter administration.
  • Maintaining client records and ensuring information is accurate and up to date.
  • Managing client-specific processes and protocols.
  • Preparing and updating electronic bundles and supporting case file management.
  • Acting as a key point of contact for lawyers and assisting with workflow coordination.
  • Preparing, formatting and managing legal correspondence and documentation.
  • Handling outgoing communications using secure document transmission methods.
  • Managing inboxes, monitoring correspondence and ensuring timely action on client matters.
  • Filing, archiving, scanning and organising documents within document and case management systems.
  • Assisting with digital dictation and document production when required.
  • Coordinating meetings, travel arrangements and diary commitments.
  • Assisting with billing and matter-related financial administration.
  • Supporting lawyers with time recording, disbursements and work-in-progress processes.
  • Processing expenses and assisting with payment requests, transfers and related administration.
  • Responding to billing and accounts queries as required.
  • Collaborating closely with lawyers, colleagues and support teams across the firm.
  • Providing cover and assistance during periods of absence or peak workload.
  • Supporting business development and client communication activities.
  • Delivering a consistently high standard of client service and communication.

We're interested in individuals who combine strong organisational skills with a genuine commitment to client service.

You will ideally have:

  • Previous experience within a legal or professional services environment.
  • Strong administrative and secretarial support experience.
  • Advanced knowledge of Microsoft Office applications.
  • Experience using document management and/or case management systems.
  • Excellent written and verbal communication skills.
  • The ability to manage multiple priorities while maintaining exceptional attention to detail.
  • A proactive and solutions-focused approach to work.
  • Strong organisational skills and the ability to work effectively both independently and as part of a team.
  • A professional, confidential and client-focused mindset.
  • A positive attitude and willingness to adapt in a busy, fast-moving environment.
