Our MAESTRO team advises clients operating across the marine, aviation, energy, shipping and transportation sectors, supporting businesses that keep global trade and infrastructure moving. As our team continues to grow, we're looking for an experienced Legal Secretary to play a key role in delivering exceptional support to our lawyers and outstanding service to our clients.

Key Responsibilities

As a Legal Secretary within the MAESTRO team, you will provide comprehensive secretarial and administrative support to lawyers, helping ensure the efficient management of matters and delivery of excellent client service.

Client & Matter Support

  • Supporting lawyers with day-to-day matter management and administrative requirements.
  • Maintaining awareness of client-specific protocols and procedures, ensuring these are followed consistently.
  • Assisting with the preparation and management of client documentation and correspondence.
  • Managing electronic document bundles and secure document transmission processes.

Administrative & Organisational Support

  • Managing inboxes, electronic filing and document organisation.
  • Preparing, formatting and producing high-quality legal documents and correspondence.
  • Supporting document management and case management systems.
  • Arranging meetings, coordinating diaries and assisting with travel arrangements.
  • Maintaining accurate client and matter records.
  • Handling confidential information in line with firm policies and data security requirements.

Financial Administration

  • Assisting with billing and e-billing processes.
  • Supporting WIP management and matter administration.
  • Processing expenses and assisting with finance-related queries.
  • Reviewing time recording allocations and matter-related disbursements.

Communication & Team Support

  • Acting as a key point of contact for lawyers and internal stakeholders.
  • Liaising with clients, experts, counsel and external contacts as required.
  • Supporting colleagues across the wider team and collaborating to ensure service excellence.
  • Proactively managing priorities and keeping stakeholders informed on progress.

Skills, Knowledge and Expertise

Essential

  • Previous experience working as a Legal Secretary or within a legal support role.
  • Strong experience within a law firm or legal environment.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Office skills, including Word, Outlook, Excel and PowerPoint.
  • Experience using document management and case management systems.
  • Exceptional organisational skills and the ability to manage multiple competing priorities.
  • Strong attention to detail and commitment to producing high-quality work.
  • A professional, client-focused approach with excellent stakeholder management skills.

Desirable

  • Experience supporting teams within the Marine, Aviation, Energy, Shipping or Transportation sectors.
  • Exposure to e-billing processes and matter finance administration.
  • Experience preparing electronic bundles and working with secure document-sharing systems.
