This is a rare opportunity to join a Top 150 national law firm with five offices across the Midlands and East Anglia, continued expansion across the East and South of England and a strong reputation for developing its people.

Rather than supporting just one department, you will work across the wider firm, stepping in where your skills are needed most and gaining exposure to a broad range of legal teams, working styles and specialisms.

This is not a routine secretarial role.

The Opportunity

As Float Team Legal Secretary, you will provide high-quality secretarial and administrative support to Fee Earners, Managers and colleagues across multiple departments.

One day you may be preparing urgent legal documents and correspondence. The next, you could be managing diaries, opening files, assisting with billing or supporting the wider Operations and Business Support teams.

You will need to adapt quickly, manage competing priorities and maintain the same high level of accuracy and professionalism wherever you are working.

What You Will Be Doing

Your responsibilities will include:

  • Providing typing, secretarial and administrative support across different legal departments
  • Supporting Fee Earners and Managers with changing workloads and priorities
  • Preparing legal documents and correspondence using digital dictation, audio typing and word processing
  • Producing first drafts of correspondence and documentation where appropriate
  • Applying firm precedents, formatting standards and house styles
  • Operating legal case management and document management systems
  • Organising, storing and attaching documents to the correct electronic matters
  • Opening, maintaining, closing and archiving client and matter files
  • Preparing client care letters, terms and conditions and standard documentation
  • Managing diaries, meetings, appointments and travel arrangements
  • Supporting time recording, billing and other financial administration
  • Monitoring compliance reports and supporting adherence to Lexcel standards
  • Managing incoming and outgoing correspondence
  • Reviewing and clearing scanned mail folders
  • Communicating professionally with clients by telephone, email and in person
  • Retrieving and processing original documents in line with compliance procedures
  • Assisting with switchboard cover, outgoing post, hospitality and file archiving when required
  • Supporting the wider Operations and Business Support teams
  • Suggesting practical improvements that increase efficiency
  • Maintaining strict confidentiality at all times

About You

You will be organised, adaptable and confident working in a busy professional environment.

Previous Legal Secretary experience would be highly advantageous, but applications may also be considered from experienced Legal PAs, Secretaries or Administrators from another professional services setting.

You should have:

  • Previous legal, professional secretarial or PA experience
  • Experience using digital dictation or audio typing systems
  • Strong Microsoft Office and Microsoft Word skills
  • Accurate typing and document-production abilities
  • Excellent spelling, punctuation and attention to detail
  • Knowledge of document formatting, page breaks, justification and track changes
  • The ability to organise and prioritise a varied workload
  • Confidence adapting quickly to different teams and working styles
  • The ability to remain calm and professional when priorities change
  • Strong written and verbal communication skills
  • A proactive and practical approach
  • A genuine can-do attitude
  • Strong teamwork and relationship-building skills
  • A clear understanding of client confidentiality
