The Role

The Legal Secretary will provide comprehensive administrative, secretarial and organisational support to the Legal Department, ensuring the efficient operation of legal and company secretarial activities. The role requires exceptional attention to detail, strong document management skills, and the ability to manage multiple priorities in a fast-paced international environment whilst maintaining the highest levels of confidentiality and professionalism.

Key Responsibilities

Legal Support

  • Preparing, formatting and updating legal documents as per the counsel's instructions.
  • Proofreading legal documents for accuracy, consistency and formatting.
  • Preparing redlines and execution versions of legal documents.
  • Assisting with the signing and execution process, including obtaining signatures and maintaining execution records.
  • Managing legal correspondence, filing and document retention in accordance with internal procedures.
  • Supporting the Legal Team with document production, amendments and version control.
  • Updating and maintaining legal knowledge management databases and document repositories.
  • Assisting with legal research and gathering information as requested by members of the Legal Team.
  • Coordinating the secure storage and retrieval of legal documents and records.
  • Billing and settlement of invoices, raising purchase orders where required and liaising with Finance regarding payments and supplier queries.

Company Secretarial Support

  • Assisting and supporting the Company Secretary with company secretarial matters.
  • Supporting the convening of board meetings and committee meetings.
  • Assisting with the drafting and preparation of corporate authorisations, notices of meetings, resolutions and board packs.

Administrative & Team Support

  • Managing the Legal Team's diaries, appointments and meetings across multiple time zones.
  • Coordinating calendars and ensuring efficient scheduling of internal and external meetings.
  • Arranging travel, itineraries, visas and processing travel expenses in compliance with Group policies and procedures
  • Supporting with onboarding, offboarding and absence management administration for members of the Legal Team.
  • Performing any other ad hoc administrative tasks to support the Legal Team and wider business as required.

Academic Qualifications

  • Secondary/High School Diploma
  • A recognised legal secretarial qualification such as the Legal Secretaries Diploma provided by the Institute of Legal Secretaries and PAs would be ideal but is not required
  • Excellent written and oral communication skills
  • Knowledge and experience of using I-manage, Sage or Agresso or similar software

Candidate Requirements

  • 3+ years of previous experience as a Legal Secretary with a law firm
  • Ability to exercise sound judgement and solve problems with minimum supervision
  • Excellent organisational, time management and administrative skills
  • Outstanding attention to detail and accuracy
  • Ability to manage competing priorities in a busy legal environment
  • Good working and written French would be a plus
