Location: Ipswich Office
Hours: Full-time Monday–Friday 9am – 5pm

The Role

We are seeking a pro-active and detail-oriented Secretary to support the Firm’s central operations, with a secondary focus on our commercial property department. This is a varied and pivotal position providing essential secretarial support across the Firm, while also assisting fee earners within the commercial property team. The successful candidate will play a key role in ensuring the smooth day-to-day running of the office.

Core Responsibilities (Firmwide Support)

  • Manage incoming calls, emails, and correspondence
  • Meet and greet clients to the Firm’s office
  • Provide support and holiday cover for reception
  • Coordinate meetings, diary management, and room bookings
  • Undertake dictation as required by the fee-earning teams
  • Open and close client files in accordance with compliance procedures
  • Attend meetings and take notes
  • Support compliance and regulatory administration
  • Support fee-earning teams with administrative tasks on an ad hoc basis as instructed by line manager
  • Attend and participate in departmental and business support meetings
  • General office administration including document management and archiving.

Commercial Property Department Support

  • Completion of file opening forms
  • Set up and manage Docusign
  • Supporting the Partner with expenses management.
  • Undertake file closing matters
  • Identify items for Restore
  • Issue file closing letters, placing copies on SOS.
  • Support the team with the incoming and outgoing post on a day-to-day basis
  • Scanning and filing documents.

We are seeking a highly organised and proactive Secretary to provide administrative and clerical support to our teams. The ideal candidate will be professionally presented, efficient, detail-oriented, and capable of handling a variety of tasks in a fast-paced environment.

Essential Skills & Experience:

  • Proven experience in an administrative or secretarial role
  • Excellent written and verbal communication skills
  • Strong organisational and time-management abilities
  • Ability to multitask and prioritise workload effectively
  • Professional demeanour and discretion in handling confidential information
  • Strong typing and document management skills
  • Proficient with Microsoft Office, specifically Outlook, Word and Excel and Case Management Systems.
