We are looking for a proactive and highly organised Legal Secretary
We are looking for a proactive and highly organised Legal Secretary to provide first-class secretarial, administrative and legal support to the team of a top Music team within a Central London Law Firm.
Working closely with the wider team and the Department EA/Senior Secretary
Working closely with the wider team and the Department EA/Senior Secretary, you will play an important role in ensuring the smooth day-to-day running of the department. You will be a key point of contact for both internal stakeholders and clients, providing a professional, responsive and personable service at all times.

Key Responsibilities
Secretarial & Administrative Support
- Provide comprehensive legal secretarial and administrative support to the team, including file opening, billing and file closing.
- Format and produce legal documents in line with the firm's approved standards and style.
- Manage and prioritise multiple requests, communicating clearly on progress and expected completion times.
- Provide a high level of client service, ensuring queries and requests are dealt with promptly and professionally.
- Act as a key point of contact for internal and external stakeholders, ensuring information is communicated effectively.
- Proactively identify potential issues and work with the relevant team members to find practical solutions.
- Manage team members' diaries and Outlook calendars, arranging internal and external meetings.
- Coordinate meeting rooms, refreshments, IT equipment and other requirements for meetings and events.
- Assist with setting up larger meetings and events across the department as required.
- Arrange UK and international travel, including transport and accommodation.
- Manage telephone calls, voicemail, out-of-office messages and emails when team members are unavailable, responding or redirecting as appropriate.
- Coordinate conference calls, Teams, Zoom and other virtual meetings.
- Distribute documents and correspondence internally and externally, electronically or in hard copy.
- Maintain accurate and well-organised electronic and hard-copy filing in accordance with firm procedures.
- Coordinate large copying and printing requests with the Office Services team, agreeing deadlines and ensuring work is completed on time.

- Proactively assist with IT queries and issues, liaising with the internal IT team, Software Training & Application Advisor and external IT providers where required.
- Keep the team informed of planned IT or system changes and support the organisation and delivery of relevant training.
- Provide support to the Department EA/Senior Secretary with projects and process improvements as required.
- Work collaboratively with colleagues across the department to ensure an efficient, consistent and professional support service.
What We're Looking For
We are looking for someone who is organised, proactive and service-focused, with excellent attention to detail and the ability to manage a busy workload.
- You will be confident communicating with people at all levels, comfortable working across multiple priorities and able to anticipate what needs to be done rather than simply waiting to be asked.
- Previous legal secretarial or professional services experience would be advantageous, together with strong IT skills and excellent written and verbal communication.
