Lettings Administration Manager

MWD Residential Lettings - East Kilbride

£28,000–£33,000 per annum, depending on experience

Full-time, Permanent

Monday to Friday | 9.00am–5.00pm

This is an opportunity to take ownership of the lettings administration function within an established, growing independent agency. As Lettings Administration Manager, you will play a central role in shaping how the function operates, improving processes, supporting the wider team and ensuring landlords and tenants receive a consistently high standard of service.

MWD Residential Lettings is a family-run agency based in East Kilbride, with more than 20 years’ experience in the lettings industry. As the business continues to grow, this role offers genuine influence, responsibility and scope for career progression. You will work closely with the Operations Director and have the opportunity to help develop the administration function and contribute to MWD’s continued success.

We have built our business around professional standards, personal service and strong relationships with our landlords and tenants. We are looking for an experienced lettings professional who shares those values and is ready to take the next step in their career.

The Role

As Lettings Administration Manager, you will take responsibility for the day-to-day management and coordination of the lettings administration function. Your responsibilities will include:

  • Overseeing tenancy administration from application and referencing through to move-in, tenancy changes and move-out
  • Preparing and issuing tenancy agreements, rent increase notices, Notices to Leave and associated documentation
  • Managing rent administration, rent-related enquiries and arrears follow-up
  • Monitoring statutory deadlines, key tenancy dates and outstanding actions
  • Maintaining accurate landlord, tenant, property and tenancy records
  • Overseeing shared inboxes and ensuring enquiries are allocated, progressed and followed through
  • Ensuring agreed procedures and processes are followed consistently
  • Identifying opportunities to improve administrative processes and efficiency
  • Working closely with the Operations Director and colleagues across the business
  • Providing support across the wider lettings operation when required

About You

We are looking for an experienced residential lettings professional who is ready to take the next step in their career. This role suits an experienced lettings manager, negotiator, or administrator looking to progress into a position with greater responsibility and ownership. Previous residential lettings experience is essential, together with a strong working knowledge of Scottish residential lettings, including Private Residential Tenancies and the Letting Agent Code of Practice.

You will be highly organised and accurate, with the confidence to manage a busy workload and competing priorities. Strong communication skills are essential, along with the ability to take responsibility, exercise sound judgement, and ensure matters are properly followed through from start to finish.

An ARLA Propertymark, LETWELL, or equivalent recognised lettings qualification would be advantageous, although not essential.

A full UK driving licence and access to your own vehicle are required, as occasional out-of-office appointments may be necessary to provide cover. We will provide a company fuel card for authorised business mileage.
