Lettings Administrator

Vickery are multi-disciplined, specialising in Property Sales, Lettings, Commercial and Land & New Homes, as well as an associated Conveyancing business. We have branches in Camberley, Frimley, Fleet, Farnborough, Lightwater and West End and we pride ourselves on the outstanding customer service we provide.

We have over 30 years' experience in the Lettings industry and have a significant portfolio of homes under management. We are an independent company, and we like to think of ourselves as a family style organisation delivering a caring and efficient service to our many long term and loyal landlords.

We have a vacancy for a Lettings Administrator to join our friendly Lettings team.

Tasks

  • Managing tenancy agreements and preparing all tenancy documentation.
  • Carrying out tenant referencing and right-to-rent checks.
  • Processing tenancy agreements, and tenancy amendments.
  • Registering tenant deposits and ensuring compliance with deposit protection legislation.
  • Liaising with landlords, tenants, contractors, and utility providers.
  • Arranging property inventories, check-ins, and check-outs.
  • Managing tenancy deposit disputes by liaising with landlords, tenants and the DPS, gathering evidence, and progressing claims through the dispute resolution process.
  • Carrying out 6 monthly property inspections & reporting to landlords.
  • Organising gas safety certificates, EPCs, electrical safety inspections, and other compliance requirements.
  • Handling tenant and landlord correspondence via telephone, email, and post.
  • Updating and maintaining property management and CRM systems.
  • Processing maintenance requests and coordinating contractors where required.
  • Monitoring tenancy progression from offer accepted through to move-in.
  • Collecting and recording tenancy paperwork and identification documents.
  • Ensuring all files are accurate, complete, and compliant with current legislation.
  • Supporting the onboarding of new landlords and properties.
  • Providing general administrative support to the lettings and property management teams.
  • Maintaining confidentiality and handling sensitive client information professionally.
  • Delivering excellent customer service to landlords, tenants, and applicants at all times.
