About the Role
Albion Estate is looking for a highly organised, proactive, and detail-oriented Lettings / Estate Administrator to support the day-to-day operations of our property business. This is a broad and hands-on role covering the full administrative cycle of property and lettings management. The successful candidate will be involved in reporting, property administration, payment processing, record keeping, landlord and tenant support, and general operational coordination.
We are looking for someone who can confidently manage a wide range of responsibilities, maintain strong attention to detail, and ensure that internal processes run smoothly and efficiently.
Fluent Russian is required for this role.
Key Responsibilities
Property and Lettings Administration
- Provide full administrative support across the lettings and property management process
- Maintain accurate records for properties, tenants, landlords, contractors, and suppliers
- Prepare, organise, and update tenancy-related and property-related documentation
- Support the administration of move-ins, move-outs, renewals, and general tenancy changes
- Ensure all files, records, and communications are properly stored and updated
Reporting and Operational Support
- Prepare regular reports on property status, tenancy progress, payments, outstanding actions, and operational matters
- Maintain internal trackers, spreadsheets, databases, and reporting systems
- Monitor deadlines and follow up on outstanding documentation, actions, and approvals
- Assist management with reporting, updates, and administrative summaries across the portfolio
- Help ensure accuracy and consistency across all property and administrative data

Payments and Financial Administration
- Receive, process, and record payments including rent, deposits, contractor invoices, and other property-related transactions
- Maintain accurate financial records and payment confirmations
- Track outstanding payments and support payment follow-ups where required
- Assist with reconciliations and ensure payment information is correctly reflected in internal systems
- Coordinate with relevant internal teams regarding payment status and documentation
Property Management Support
- Assist with the day-to-day coordination of maintenance issues, repairs, contractor appointments, and property requests
- Liaise with tenants, landlords, contractors, and service providers to support smooth property operations
- Track ongoing issues and ensure timely follow-up and resolution
- Help coordinate inspections, certificates, inventories, and general property compliance administration
- Support the wider team with operational and administrative tasks across the property portfolio
Communication and Client Support
- Act as an administrative point of contact for tenants, landlords, contractors, and internal teams
- Respond to enquiries in a professional and timely manner
- Support both English-speaking and Russian-speaking clients
- Ensure a high standard of service, communication, and follow-through in all interactions
General Administration
- Maintain organised digital and physical filing systems
- Support office administration and internal coordination
- Help improve internal administrative processes and workflow efficiency
- Handle a high volume of tasks with accuracy, responsibility, and professionalism

Requirements
- Previous experience in property administration, lettings administration, estate administration, or property management support
- Strong experience in administration, reporting, and payment processing
- Excellent organisational skills and strong attention to detail
- Ability to manage multiple tasks and priorities in a fast-paced environment
- Strong written and verbal communication skills
- Fluent Russian and English
- Confident user of Microsoft Office, Excel, CRM systems, and administrative platforms
- Professional, reliable, and solution-oriented approach
Preferred Experience
- Experience in UK residential lettings or property management
- Familiarity with tenancy administration and landlord-tenant communication
- Experience coordinating maintenance, contractors, and property-related issues
- Understanding of property operations and financial administration processes
