We are a small, independent property management and lettings agency based in Durham. We pride ourselves on working efficiently by utilising modern property software to manage a diverse portfolio of residential and student properties.
We are looking for an energetic, highly organised individual to join our team as a Lettings & Property Coordinator. No prior property industry experience is necessary—if you have strong communication skills, a proactive attitude, and a willingness to learn, we will provide comprehensive training.
The Role
This is an active, front-facing role driving our lettings process from initial enquiry right through to move-in day, alongside essential tenancy administration. You will be instrumental in finding great tenants, showcasing our properties, and ensuring a seamless onboarding experience, all while keeping our digital systems accurate and up to date.
The position offers a varied blend of office-based coordination and time out on the road. You will manage incoming leads, guide applicants through viewings, prepare tenancy paperwork, and handle day-to-day tenancy administration.
Your day-to-day responsibilities will include:
- Lettings & Viewings: Handling incoming tenant enquiries, qualifying prospective applicants, and conducting engaging in-person property viewings across our portfolio.
- Applicant Journey & Tenancy Progression: Guiding approved applicants through the move-in process, conducting "Right to Rent" checks, taking holding deposits, and issuing tenancy agreements.
- Move-In Coordination & Tenancy Admin: Overseeing deposit protection, preparing welcome packs, managing keys, and arranging utility and council tax notifications for smooth changeovers.
- Diary & Logistics Management: Managing viewing schedules, coordinating appointment calendars efficiently, and planning travel routes across Durham.
- Inspections & Check-Ins/Outs: Conducting property check-ins, interim condition visits, and end-of-tenancy checkouts with photographic inventories.
- CRM & Data Integrity: Keeping applicant and tenancy pipelines current in our property software, ensuring all notes, dates, and documentation are accurately logged.
- Enquiry Handling: Acting as a professional, friendly first point of contact for prospective tenants, current residents, and landlords via phone and email.

- Balanced Working Hours: A 34-hour working week gives you more personal time than a standard full-time role.
- Early Weekend Finish: Wrap up your week early with a 4:00 PM finish on Fridays.
- Predictable Structure: A regular Monday–Friday schedule. During peak seasonal periods (particularly the summer changeover), occasional overtime may be required to support move-ins, always planned and communicated well in advance.

Essential Requirements
- Full UK Driving Licence: Must hold a full, clean UK driving licence.
- Own Vehicle: Daily access to a reliable vehicle for business travel.
- Business Insurance: Ability to obtain (or currently hold) business-use insurance on your vehicle.
(Starting rate is determined by experience, aligned with National Minimum Wage guidelines)
