Lettings & Property Management Coordinator (Part-Time / Hybrid)

Office Location: North-West London
Working Hours: Initially 20 hours per week, with the opportunity to increase to full-time (40 hours)
Salary: Dependent on experience

Company Description

South Beach Lettings is a growing, family-run independent lettings and property management agency specialising in HMOs, student accommodation, professional house shares, and residential properties.

We manage properties across Stoke-on-Trent, Newcastle-under-Lyme, Keele, Crewe, Manchester, and London, working closely with landlords, tenants, and contractors to provide a responsive, hands-on property management service.

We are an ambitious and fast-moving team who take pride in our communication, attention to detail, and the service we provide.

About the Role

We are looking for a proactive and organised Lettings & Property Management Coordinator to join our growing team and work closely with our Director and Operations team.

This is a varied, hands-on role supporting the day-to-day running of our property portfolio and wider business operations.

No two days will necessarily be the same. You could be responding to tenant enquiries, arranging viewings, coordinating maintenance, speaking with landlords, preparing tenancy paperwork, or helping improve our internal processes.

We are looking for someone who is a quick learner, confident communicator, comfortable with technology, and able to think on their feet.

The right person will be proactive, take ownership of tasks, and follow things through to completion without needing constant supervision.

Main Responsibilities

Tenant & Landlord Communication

  • Managing daily communications through WhatsApp Business, email, and telephone.
  • Responding promptly and professionally to tenants, landlords, applicants, and contractors.
  • Handling tenant enquiries, requests, and property-related issues.
  • Following up on outstanding matters and keeping everyone informed.
  • Identifying urgent issues and escalating them where appropriate.

Lettings & Enquiry Management

  • Responding to new property enquiries and qualifying prospective tenants.
  • Arranging property viewings with our local property management team.
  • Following up with interested applicants and progressing applications.
  • Assisting with tenant referencing, renewals, move-ins, and tenancy paperwork.
  • Supporting property marketing and keeping listings up to date.

Property Management & Operations

  • Supporting the daily management of our HMO and residential property portfolio.
  • Coordinating maintenance requests, contractor appointments, and follow-ups.
  • Liaising with tenants, landlords, and contractors to progress outstanding jobs.
  • Assisting with property inspections, compliance tracking, and general administration.
  • Helping ensure property-related issues are dealt with efficiently.

Administration & Systems

  • Preparing and organising tenancy documents, property records, and correspondence.
  • Updating our property management CRM and other internal systems.
  • Managing spreadsheets, shared folders, and administrative records.
  • Assisting with routine rent follow-ups, invoices, and general financial administration where required.
  • Supporting the Director and Operations team with general business administration.

Technology & Process Improvement

  • Using modern technology and AI tools, including ChatGPT, to improve efficiency.
  • Assisting with the preparation of communications, documents, and reports.
  • Identifying opportunities to streamline repetitive administrative tasks.
  • Learning our internal systems and processes while contributing ideas for improvement.
  • Handling company and client information responsibly and confidentially.

What We’re Looking For

Essential Skills & Qualities

  • Excellent written and verbal communication skills.
  • Confident speaking with people on the telephone.
  • Highly organised and capable of managing multiple tasks.
  • Proactive, resourceful, and comfortable taking initiative.
  • A fast learner who can quickly pick up new systems and processes.
  • Confident using computers, email, WhatsApp, and modern business software.
  • Strong attention to detail and good time management.
  • Comfortable working in a busy, fast-paced environment.
  • Able to work independently and as part of a small team.
  • A practical, positive, and problem-solving attitude.

Desirable Experience

  • Previous experience in UK lettings, estate agency, or property management.
  • Experience in tenancy administration, maintenance coordination, or customer enquiries.
  • Familiarity with property management CRM systems.
  • Understanding of HMOs, student accommodation, and residential lettings.
  • Experience using AI and digital tools to improve everyday workflows.

Previous property industry experience would be an advantage, but we are also open to candidates from other fast-paced administrative, operations, or customer-facing backgrounds who demonstrate the right attitude, initiative, and willingness to learn.

Working Arrangements

  • Initial hours: Approximately 20 hours per week.
  • Office location: Harrow, North-West London.
  • Hybrid working: Initially office-based for training and integration with the team, with the possibility of introducing hybrid working once established in the role.
  • Progression: Opportunity to increase hours, potentially up to full-time (40 hours per week), as the business grows.
