AI Support & Productivity Apprentice
We are looking for an AI Support & Productivity Apprentice to help our team get the most out of the digital and AI tools we use every day. ProfDoc and our sister brands have adopted AI assistants, automation, and a growing set of in-house tools, and we need someone to support colleagues in using them.

What you'll do at work
- Provide first-line support to colleagues on our applications and AI tools, in person, by phone, email and Teams
- Help onboard and train users on AI assistants, Microsoft 365 and our internal tools, and advise on how to work more productively with them
- Log, prioritise and document support requests so there is a clear record of what was done and what is outstanding
- Diagnose the root cause of application and technical issues, fix what you can, and escalate the rest
- Configure user accounts, software and settings on our systems to meet each team's needs
- Carry out basic data analysis and reporting using Excel and our reporting tools, for example on tool usage or team productivity
- Support continuous improvement projects such as automating repetitive admin tasks and rolling out new features
- Apply our data security, GDPR and acceptable-use policies in everything you do, and help colleagues do the same
- Research and test new tools and features, and explain technical options in plain language to non-technical colleagues
- Manage your own workload against agreed priorities and keep up to date with developments in AI and productivity software

- Apply information security principles, for example: information transfer, deletion, storage, usage and communications that may include using mobile devices.
- Provide an appropriate and effective response to enquiries, providing support and information utilising digital channels and in line with organisation protocols
- Operate digital information systems, for example

- Bespoke departmental or organisational systems or databases
- Communicate effectively through a variety of different channels using terminology appropriate to the audience
- Use digital resources to extend own knowledge and skills relevant to their role
- Risk assess the organisational impact of decisions that they take
- Use digital systems to identify productivity and performance improvements
- Use digital technologies to operate effectively as part of a team, and with other stakeholders, enabling sharing of information and best practice
- Maintain system security in line with organisational policies.
- Support digital operations or digital change and transformation activities.
- Investigate application problems and enable resolution to maintain productivity and improve quality of service.
- Coach and guide stakeholders to develop their applications skills to use digital systems effectively.
- Monitor data to analyse systems use and provide insights to recommend use or applications developments.
- Support customers in the use of information, products and services through digital channels.
