Role Overview

The Trust Administrator (Apprentice) provides support to the Chief Executive Officer, Senior Leadership Team, and Central Services Team while undertaking a Level 3 Business Administrator Apprenticeship. The postholder will develop the skills and behaviors needed to become an effective administrator by working with colleagues.

Job Responsibilities

  • Provide professional administrative support to the Chief Executive Officer (CEO), Senior Leadership Team, and Central Services Team.
  • Learn on the job by getting hands-on experience.
  • Develop the knowledge, skills, and behaviors required to become an effective business administrator within a Multi Academy Trust.
  • Gain practical experience across a range of business functions including Executive Administration, Governance, Human Resources, Communications, Estates, and Compliance.
  • Receive comprehensive training, coaching, and mentoring throughout the programme.
  • Contribute to delivering an efficient, professional, and customer-focused administrative service.

Specific Tasks

  • Provide confidential administrative support to the Chief Executive Officer.
  • Support the effective organization of the CEO's diary, arranging meetings, appointments, and events.
  • Act as a professional first point of contact on behalf of the CEO.
  • Assist with the preparation of agendas, briefing papers, reports, presentations, correspondence, and other documentation using Microsoft Office 365.
  • Learn to produce accurate meeting minutes, action logs, and follow-up documentation.
  • Support the monitoring and tracking of actions arising from meetings.
  • Assist with travel arrangements, accommodation bookings, hospitality, and meeting logistics.
  • Support the preparation and coordination of Board and Committee documentation.
  • Maintain confidential electronic and paper filing systems in accordance with Trust procedures and data protection requirements.
  • Assist with academy onboarding, conversion, and Trust development projects.
  • Collect, collate, and present information requested by senior leaders.
  • Support basic financial administration, including the raising of purchase orders and processing of administrative requests.
  • Assist with the ordering and management of office supplies and equipment.
  • Contribute ideas that improve administrative systems, digital processes, and ways of working across the Trust.

  • Qualification: Level 3 Business Administration
  • Duration: 18-months
  • Delivery: All learning will be delivered online alongside full-time placement at the trust.
  • GCSE Requirements: Maths and English (grade 4)
  • Share: If you have other relevant qualifications and industry experience, the apprenticeship can be adjusted to reflect what you already know.
