You will be joining our 0–19 Public Health Nursing Service, which supports children, young people and families across Barnsley from pregnancy and the early years through to school age and beyond. The administration team plays an important part in helping families reach the right support at the right time, and in helping frontline practitioners deliver safe, responsive and high-quality services.

About The Post

The Level 3 Business Administrator Apprentice – 0–19 PHNS Administrator Pathway is an exciting opportunity to begin a career in public service while gaining a nationally recognised qualification. This role sits within the Single Point of Access administration team, where the work you do will directly support children, young people, families and professionals who contact the 0–19 Public Health Nursing Service.

Although this is not a clinical role, it is an important part of how families experience the service. You will help make sure enquiries are handled with care, information is recorded accurately, appointments and records are managed safely, and colleagues have the administrative support they need to provide timely help. You will be supported by experienced colleagues, encouraged to ask questions and given the opportunity to build confidence as you learn.

About The Apprenticeship

As an apprentice, you will work towards a Level 3 Business Administrator qualification. This qualification develops a broad range of transferable skills including communication, organisation, IT, record and document production, problem solving, project support, stakeholder engagement and continuous improvement.

Your apprenticeship will combine workplace learning, supported study time and practical experience in a busy public health nursing environment. You will not be expected to know everything from day one. We will support you to develop skills in communication, organisation, information handling, electronic records and service user support, helping you grow towards a confident and valued SPA Administrator role.

About The Role

In this role, you will often be one of the first points of contact for families, young people, carers, partners and professionals. You will respond to enquiries received by telephone, email, digital health systems and other routes, making sure people are listened to, treated respectfully and directed to the right support.

Your work will help the service run smoothly behind the scenes. You will support appointment booking, calendar management, waiting list administration, secure transfer of children’s health records, accurate data entry and safe handling of confidential information. These tasks matter because good administration helps frontline staff spend more time supporting families and helps the service respond effectively.

As your skills develop, you will gain experience in electronic health records, information governance, audits, feedback activity, reports and improvements to administrative processes. You will be part of a caring and inclusive team where accuracy, kindness, confidentiality and teamwork are valued. This is a rewarding opportunity to learn practical skills while contributing to a service that supports families across Barnsley every day.

Key Responsibilities Will Include

  • Responding to routine and non-routine enquiries in a professional and compassionate way.
  • Signposting service users to the right service and prioritising urgent queries when required.
  • Accurately recording, checking and maintaining information on digital and paper-based systems.
  • Supporting appointment booking, calendar management and waiting list administration.
  • Transferring children’s health records securely and efficiently.
  • Supporting audits, feedback activity, reports and administrative service improvements.
  • Working collaboratively with colleagues to support digital systems and new ways of working.
  • Maintaining confidentiality, information governance and safe working practices at all times.

About You

We are looking for someone who is organised, motivated and keen to learn. You may be starting your first career step or looking for a new opportunity to develop your skills. If you are interested in administration, customer service, digital systems, electronic records and supporting services that help children, young people and families, this could be the role for you.

You should have good communication skills, attention to detail and a professional approach to handling information carefully and confidentially. You will need to be comfortable using IT and willing to learn systems such as Microsoft Office, electronic health records and other digital platforms. You will also need to be able to stay calm and helpful when dealing with different types of enquiries, including those that may be sensitive.

You do not need to be an expert before you start. Full support, training and supervision will be provided throughout your apprenticeship. What matters most is that you are reliable, curious, willing to learn, able to work well with others and motivated to make a positive contribution to a service that supports local families.

This apprenticeship would suit someone who wants to build confidence, learn transferable skills and feel part of something meaningful. It can help open doors to future opportunities in business administration, health administration, customer service, digital record keeping or wider service support. Above all, you will be joining a team where your work helps children, young people, families and staff across Barnsley every day.
