Role Overview

Keltbray Lifting Services is looking for a confident, organised, and proactive Lifting Support Coordinator to support our growing business.

The role will provide operational, commercial, and administrative support across all Keltbray Lifting Services activities. The successful candidate must be an excellent communicator, confident speaking on the telephone, and capable of taking ownership of tasks through to completion with minimal supervision.

Full handover and training will be provided.

Key Responsibilities

  • Provide day-to-day administrative and coordination support to the Keltbray Lifting Services team.
  • Maintain quotation records, issue quotations, and proactively chase outstanding responses, approvals, and purchase orders.
  • Ensure quotations are accurately recorded, progressed, and formally closed out.
  • Allocate and reconcile operative hours against the correct projects and cost codes.
  • Assist with weekly timesheets, operative expenses, payroll information, and approval documentation.
  • Support the preparation and checking of end-of-month financial submissions.
  • Assist with recruiting, onboarding, and mobilising lifting operatives.
  • Book operatives onto new projects and coordinate project-specific forms, competency records, and high-level clearance requirements.
  • Maintain accurate workforce, quotation, and operational trackers.
  • Communicate professionally with operatives, agencies, clients, project teams, and internal departments.
  • Follow up outstanding information and resolve discrepancies within required deadlines.
  • Support the wider team with general operational and commercial administration.

Essential Requirements

  • Excellent verbal and written communication skills.
  • Confident and professional telephone manner.
  • Advanced Microsoft Excel skills and the ability to manage detailed trackers and data accurately.
  • Good working knowledge of Word, Outlook, Teams, and the wider Microsoft 365 suite.
  • Strong organisational and time-management skills.
  • Excellent attention to detail, particularly when handling hours, quotations, and financial information.
  • Self-motivated, driven, and capable of working without close supervision.
  • Able to take ownership of tasks and progress them through to completion.
  • Comfortable managing multiple priorities and meeting deadlines.
  • Willing to learn and adapt to new systems and processes.
  • A dependable and flexible team player.

Previous experience in construction, workforce coordination, recruitment, quotations, timesheets, payroll support, or commercial administration would be beneficial but is not essential. A reasonable commute to the Plaistow Wharf office is preferred.
