The Team

This role sits within Avalon’s busy and collaborative Live Booking team, which works with some of the biggest names in comedy and live entertainment.

As Live Booking Assistant, you will support the Head Booker, and will work closely with internal departments, including Artist Management, Data Analysis, and Finance, as well as with external partners, to ensure the smooth and successful delivery of all bookings. It will be central to keeping the day-to-day operation running smoothly, ensuring that contracts, riders, show information, payments, and settlements are accurately managed and followed up.

This is a fast-paced role where organization, communication, and attention to detail are critical. It is also an excellent opportunity for someone who is interested in building a career in live entertainment and wants to develop a strong understanding of how the live booking business works.

Key Responsibilities

As Live Booking Assistant, you will provide end-to-end administrative and operational support across a high volume of live bookings.

You will be responsible for making sure that the detail behind each booking is managed accurately and efficiently, working closely with the Head Booker, artists, venues, and our Finance team.

You will need to be highly organized, proactive, and comfortable managing a high volume of activity, often working to tight deadlines. You will also need to be confident communicating with a wide range of people and following things through to completion.

Specific Duties

  • Keep track of a high volume of live bookings, ensuring key actions and deadlines don't get missed.
  • Liaise with artists and venues to arrange technical requirements, timings, and other practical details for shows, including making sure artists and venues are clear on details such as arrival times, soundchecks, performance times, and other requirements.
  • Follow up contracts with venues and maintain accurate booking trackers and records.
  • Carefully check box office reports and tour settlements, making sure the numbers are accurate and resolving any discrepancies.
  • Raise invoices and work closely with Finance to ensure venues pay on time and artists are paid accurately.
  • Build strong relationships with venues and artists, including confidently chasing outstanding information or payments when needed.
  • Compile post-show reports and keep booking information accurate and easy to access.
  • Provide general support to the Head Booker, including diary management, travel, and monthly credit card reconciliation.

About You

We're looking for someone who is organized, curious, and genuinely interested in live entertainment.

We're looking for someone who:

  • Loves comedy and live entertainment.
  • Is exceptionally organized and has a strong eye for detail.
  • Is highly numerate, with a good working knowledge of Excel and a readiness to learn in-house systems, processes, and databases quickly.
  • Communicates confidently and enjoys building relationships.
  • Is proactive and doesn't need to be chased to get things done.
  • Can juggle multiple bookings, deadlines, and priorities while keeping a cool head.
  • Takes pride in getting the detail right.
  • Is keen to learn and develop a career in the live entertainment industry.

Previous experience in box office, ticketing, events, entertainment, or a busy administrative role would be useful, but we're much more interested in your attitude, organization, and willingness to learn.
