Salary:
If aged under 18: £16,024 per annum
If aged 18 to 20: £20,942 per annum
If aged 21 or over: £24,532 per annum

The Role

This is a two-year apprenticeship post.

The postholder will provide high quality administrative and operational support across all activities delivered by the Lifelong Learning & Apprenticeship Hub (LLAH), supporting Apprenticeships, CPD, Apprenticeship Units, commercial skills programmes and wider workforce development activity

Key Responsibilities

  • Act as the first point of contact for enquiries received through the Hub, responding to routine queries from learners, employers, colleagues and external customers or directing enquiries to the appropriate member of staff
  • Manage the end-to-end administration of learners across Hub activity, including Expressions of Interest, enrolment, learner record creation, Learning Management System (LMS) administration, eligibility documentation and learner communications from enquiry through to programme completion
  • Set up and maintain course documentation, digital filing structures and programme records, ensuring accurate and compliant record keeping across all Hub activities
  • Create and maintain Canvas course sites using approved templates, including adding learners and teaching staff, uploading learning resources and creating digital assets such as course banners and graphics
  • Publish and maintain CPD opportunities on the University's StoreFront and other agreed platforms, monitoring registrations and producing routine reports on learner activity and programme performance
  • Coordinate meetings, workshops, masterclasses and on-campus delivery, including room bookings, online meetings, catering, attendance registers, learning resources and event logistics
  • Produce and distribute learner communications, including welcome information, joining instructions, reminders and programme updates, ensuring learners receive timely and accurate information throughout their learning journey
  • Coordinate programme completion activities, including evaluation surveys, feedback reporting, certificates of completion and digital badge requests, sharing outcomes with academic colleagues and the Hub management team
  • Maintain accurate CRM, learner and programme data, undertaking routine data cleansing and producing reports to support operational planning, compliance and continuous improvement
  • Support routine financial administration activities, including purchase requests, financial reconciliation and monitoring expenditure where appropriate
  • Support Hub communications by producing marketing materials, social media graphics, PowerPoint presentations and maintaining learner information across Canvas Communities and other communication channels
  • Prepare meeting agendas, minutes and action logs, monitoring progress against agreed actions and supporting effective project delivery
  • Participate fully in team meetings and contribute positively to the continuous improvement of Hub processes, systems and customer experience
  • Undertake any other duties appropriate to the grade, working flexibly across the Lifelong Learning & Apprenticeship Hub to support changing priorities, new projects and emerging business needs

The Person

Knowledge, Skills and Experience

  • Ability to work independently and collaboratively as part of a multi-disciplinary team, adapting to changing priorities and workloads
  • Excellent organisational skills with the ability to prioritise work effectively and manage multiple tasks to agreed deadlines
  • Excellent written and verbal communication skills, with confidence communicating professionally with learners, employers, academic colleagues and external stakeholders
  • Good working knowledge of Microsoft Office 365, particularly Outlook, Word, Excel and PowerPoint
  • Confidence using a range of digital systems with the ability to learn new software and technology quickly
  • Strong attention to detail and the ability to maintain accurate records and audit trails
  • Customer-focused approach with excellent interpersonal skills and a commitment to delivering a high-quality service
  • Ability to handle confidential and sensitive information appropriately, maintaining discretion at all times
  • Experience of working in a busy customer-facing or administrative environment (or evidence of transferable skills gained through education, volunteering or work experience)
  • Ability to interpret and follow policies, procedures and guidance accurately

Qualifications

Educated to GCSE level (in English and Maths) Grades A-C, or equivalent, or demonstrable experience in a similar role
