Job Purpose
To provide consistent day-to-day administrative control across the logistics function by managing shared communications, coordinating carriers, maintaining vehicle and delivery records, administering demo and pool vehicles, monitoring payment and repair status, and supporting reporting, claims and issue resolution. The role acts as a central point of coordination, ensuring stakeholders receive accurate and timely information while protecting operational continuity, service standards and the effective use of company assets.
Main Responsibilities
- Manage the shared logistics mailbox, triage requests and ensure delivery updates and actions are followed through.
- Coordinate day-to-day carrier activity, including collections, delivery exceptions, delays, damage and operational queries.
- Track and communicate shipment and delivery progress to internal teams, dealerships, carriers and other stakeholders.
- Monitor live operational issues, identify risks and escalate exceptions through to resolution.
- Manage demo and pool vehicle requests, including availability, approvals and accurate usage records.
- Conduct demo, pool vehicle and car park checks, including vehicle condition, keys and availability.
- Maintain accurate proof of delivery documentation and carrier records.
- Monitor BCA repair status and follow up outstanding responses and actions.
- Track payment status and invoice exceptions in GDMS, following up where clarification or action is required.
- Prepare daily logistics updates covering key activity, priorities, risks and required actions for management.

Education, Skills And Personal Characteristics Required
- Previous experience in logistics, transport, fleet administration or operational support.
- Experience managing shared mailboxes, stakeholder enquiries, delivery updates and documentation in a busy environment.
- Experience liaising with carriers, dealerships, repair providers or third-party suppliers.
- Experience maintaining vehicle, POD, invoice, payment, repair or claims records.
- Good knowledge of Microsoft Office, particularly Outlook and Excel.
- Experience using GDMS or similar business/operational systems is desirable.
- A vocational qualification in business administration, logistics or transport is beneficial but not essential.
- Equivalent practical experience will be considered.
