Purpose/Summary

Reporting to the Operations Supervisor, the Logistics Coordinator / Operations Support Associate provides administrative and operational support across various departments and multi-shift station operations. The role partners with internal teams to coordinate inbound and outbound shipments by maintaining accurate documentation and system records, monitoring shipment progress, communicating updates, and supporting timely service delivery in accordance with customer requirements and station procedures.

The position is responsible for executing assigned daily work, prioritizing time-sensitive shipments, resolving or escalating exceptions, and maintaining clear shift-to-shift communication from shipment setup through delivery and closeout.

Key Responsibilities

  • Review prior-shift notes and consult with management to identify, prioritize, and address time-sensitive tasks.
  • Monitor inbound and outbound shipments, including priority freight, delivery status, driver delays, and service commitments.
  • Create, update, and close shipment records accurately in Navigator and other designated systems.
  • Maintain complete shipment documentation and notes, including POD information, delivery dates, delay codes, shipment updates, and relevant partner or customer communications.
  • Track shipments using available operational reports and tools; follow up on missing PODs and other open shipment exceptions.
  • Communicate shipment status and exceptions promptly to customers, consignees, control stations, drivers, partners, and internal stakeholders.
  • Coordinate documentation, logistics activities, and issue resolution to support smooth, efficient, and compliant operations.
  • Provide flexible cross-functional support to various departments by coordinating priorities, sharing operational information, and assisting with department-specific needs as directed by the Operations Supervisor.
  • Provide responsive customer support by answering calls promptly, reviewing and responding to emails, and acknowledging requests within established service expectations.
  • Prepare shipment quotes by gathering complete shipment details, applying routing requirements, coordinating out-of-guide requests, and issuing quote forms to the appropriate recipients.
  • Support operational tasks such as creating or updating shipments, preparing customer-specific reports, scheduling appointments, and completing other duties assigned by management.
  • Document end-of-shift activities, incidents, completed work, open issues, and follow-up needs; provide a clear handoff to the incoming shift or other relevant personnel.
  • Complete required operational checklists and follow applicable customer SOPs, standard operating procedures, and data-quality requirements.

Qualifications

  • High school diploma or equivalent required; additional education in supply chain, logistics, business, or a related field is preferred.
  • At least one year of experience in supply chain, logistics, transportation, customer service, or a related operational environment preferred.
  • Strong attention to detail and ability to maintain accurate shipment records, documentation, and system notes.
  • Ability to prioritize competing assignments, work independently, and meet time-sensitive customer and operational requirements.
  • Strong written and verbal communication skills, including the ability to provide clear updates and shift handoffs.
  • Proficiency with Microsoft Office and the ability to learn transportation, dispatch, reporting, and customer-specific systems.
  • Customer-focused, collaborative approach with sound judgment when resolving or escalating shipment exceptions.
  • Ability to follow SOPs, customer requirements, and established service-level expectations in a fast-paced environment.
  • Flexibility to work nights, holidays, and weekends as business needs require.

Pay Range

$25-$27 an hour

The above-stated pay range is the anticipated starting salary range for the position. The Company may adjust this range in light of prevailing market conditions and other factors such as location. The Company will work directly with the selected candidate(s) on the final starting salary in accordance with all applicable laws.
