KAIDEF Ltd is an international defence company specialising in the procurement, supply, and delivery of military equipment and defence solutions to government and authorised commercial customers worldwide.
Our expertise includes managing complex international projects, coordinating military logistics, and ensuring the compliant movement of defence-related cargo across multiple jurisdictions. We work closely with manufacturers, suppliers, freight forwarders, and end users to deliver efficient and reliable solutions while maintaining the highest standards of professionalism, confidentiality, and regulatory compliance.
As our business continues to grow, we are seeking an experienced Logistics Coordinator to support our expanding international operations.
The Role
The Logistics Coordinator will be responsible for coordinating international shipments from order confirmation through to final delivery.
The successful candidate will have previous experience in international logistics and be confident handling shipping documentation, liaising with freight forwarders, reviewing contracts, and ensuring all documentation is accurate and compliant. Experience within the defence or military sector would be advantageous but is not essential.
This is a remote position requiring excellent organisational skills, strong attention to detail, and the ability to manage multiple shipments simultaneously.

Key Responsibilities
- Coordinate international shipments from collection through to final delivery.
- Review all shipping documentation for accuracy and completeness.
- Prepare and process commercial invoices, packing lists, certificates of origin, export documentation, bills of lading, airway bills and other transport documents.
- Review contracts, quotations and shipping agreements with freight forwarders and logistics providers.
- Ensure the correct application of Incoterms and international shipping requirements.
- Liaise with manufacturers, suppliers, freight forwarders, customs brokers and end users throughout the shipment process.
- Distribute shipping documentation to customers, end users and relevant authorities when required.
- Track shipments and provide regular progress updates.
- Resolve shipping delays and logistical issues quickly and professionally.
- Maintain accurate shipment records and document control.
- Ensure all activities comply with applicable export control regulations and company procedures.
- Support the sales and procurement teams with logistics planning and shipping advice.
Essential Requirements
- Minimum of 3 years' experience in an international logistics, shipping or freight forwarding role.
- Excellent understanding of international freight forwarding processes.
- Strong knowledge of shipping documentation and customs procedures.
- Experience reviewing logistics contracts and freight quotations.
- Good understanding of Incoterms.
- Experience working with sea freight, air freight and road freight.
- Excellent organisational and administrative skills.
- Strong attention to detail.
- Ability to prioritise multiple projects simultaneously.
- Confident communicating with international suppliers, freight forwarders and customers.
- Proficient in Microsoft Office, particularly Excel, Word and Outlook.
- Fluent in written and spoken English.

Desirable Skills
- Experience handling military or defence-related cargo.
- Knowledge of export licensing procedures.
- Experience coordinating oversized, hazardous or controlled cargo.
- Familiarity with NATO or government procurement processes.
