Role Description

We are looking for a proactive and well-organised Logistics & Customer Service Administrator to support our Logistics and Customer Service teams in Rugby. This varied role is ideal for someone who enjoys working across customer administration, order support, returns, credits, stock reporting and day-to-day logistics coordination. You will act as an important link between customers, internal departments and third-party logistics providers, helping to ensure that information is accurate, queries are resolved efficiently and service levels are maintained.

In this role, you will help manage e-commerce returns, customer credits, delivery queries, stock files and customer order-related administration. You will maintain and update SAP records, customer portals, returns logs, consignment stock files and reporting documents, while working closely with account managers, customer service, supply chain, finance, marketing, sales and external logistics partners. Key responsibilities will include supporting daily, weekly, monthly and quarterly processes such as updating EDI return logs, issuing stock and collections reports, managing consignment stock information, calculating credit amounts, processing rebates and logistics fees, and making sure the right information is shared with the right teams at the right time.

You will also provide practical operational support by processing inbound container receipts, completing SAP inventory adjustments, closing open orders, preparing Northern Ireland export documentation where required, assisting with tyre returns and providing cover for order desks when needed. This is a great opportunity for someone with strong attention to detail, good communication skills and the ability to manage multiple priorities in a busy logistics and customer service environment. What we’re looking for:

  • Previous experience in logistics administration, customer service, B2B sales support or a similar administrative role.
  • Confident user of SAP, or a similar ERP system, with the ability to retrieve orders, process credits and download data accurately.
  • Strong Microsoft Office skills, particularly Excel, including pivot tables and VLOOKUP calculations.
  • Excellent attention to detail, with the ability to maintain accurate records, reports, returns logs and customer information.
  • Good communication skills, with confidence liaising with customers, internal departments, account managers and third-party logistics providers.
  • Strong organisational and time management skills, with the ability to manage daily, weekly, monthly and quarterly deadlines.
  • A proactive, reliable and collaborative approach, with the ability to prioritise workloads and support a busy team environment.
