Position: Loading Bay, Logistics & Post Room Supervisor

Shift Pattern: Monday – Friday, 07:00 – 18:00

Location: Canary Wharf, London

Pay Rate: 21.01 per hour

Duties and Responsibilities:

  • Oversee the day-to-day operation of the Loading Bay, Logistics and Post Room, ensuring all areas operate safely, securely, and efficiently.
  • Manage vehicle access, deliveries, collections, contractors, and couriers, ensuring all relevant site security procedures and protocols are followed.
  • Supervise the handling of incoming and outgoing post and parcels, ensuring deliveries are correctly recorded, securely stored, and distributed appropriately.
  • Provide day-to-day supervision, leadership, and direction to Loading Bay and Post Room Officers, including allocating duties, conducting team briefings, and maintaining professional standards.
  • Ensure all team members follow relevant Assignment Instructions, Standard Operating Procedures (SOPs), risk assessments, and security procedures, escalating any concerns where appropriate.
  • Maintain high standards of health and safety throughout the Loading Bay and Post Room, particularly in relation to vehicle and pedestrian movements, deliveries, housekeeping, and emergency access routes.
  • Maintain accurate records and reports relating to deliveries, contractors, vehicles, incidents, and daily Loading Bay and Post Room activities.
  • Provide a professional level of customer service, communicating effectively with tenants, contractors, delivery drivers, couriers, and other building users.
  • Lead by example, demonstrating professionalism, reliability, strong communication, and sound decision-making at all times.
  • Take ownership of operational issues, ensuring appropriate action is taken and matters are followed through to a satisfactory resolution.
  • Liaise effectively with the Security Manager, client representatives, and other key stakeholders, maintaining clear communication regarding operational requirements, concerns, incidents, and updates.
  • Ensure that all Loading Bay and Post Room operations are conducted in accordance with client requirements, site procedures, and relevant legislation.
  • Assist with the coordination and induction of new team members, ensuring they receive appropriate training and are fully competent in their assigned duties.
  • Ensure effective handovers are completed between shifts, communicating all relevant information regarding deliveries, collections, contractors, incidents, and outstanding tasks.
  • Monitor the Loading Bay to ensure all areas remain clean, organised, and operationally efficient.
  • Monitor traffic management and vehicle movements within the Loading Bay, reporting any breaches or concerns to the appropriate management.
  • Assist with VIP access and provide support with specific client requirements when required.
  • Continually review the service provision and identify opportunities for improvements and operational efficiencies.
  • Respond proactively and professionally to client, tenant, and customer requests.
  • Assist Emergency Services as required and ensure emergency access routes remain clear and accessible at all times.
  • Ensure all relevant security and access control measures are strictly enforced and maintained within the Loading Bay.
  • Ensure all vehicles entering the Loading Bay are managed in accordance with site security procedures, including vehicle searches where required.
  • Support the Post Room operation during periods when the Post Room Officer is on a break or undertaking post runs, including receiving courier deliveries and ensuring items are securely stored.
  • Ensure appropriate procedures are followed when access to the Post Room is required while the Post Room Officer is away, contacting the Control Room for assistance where necessary.
  • Work closely with the Security Manager and client representatives to ensure a professional, efficient, and consistently high level of service is provided to tenants, visitors, contractors, and guests.
