Wholesale & Logistics Coordinator
We are looking for an organised and commercially minded Wholesale & Logistics Coordinator to support the smooth movement of goods across our international supply chain and wholesale network.
Reporting directly to the Operations Director, the role is responsible for coordinating inbound freight from international suppliers, managing the inbounding and movement of inventory across warehouses in the UK, EU and US, and overseeing deliveries to domestic and international wholesale customers.
The successful candidate will act as a key point of contact between suppliers, freight providers, warehouses and wholesale customers, ensuring that goods are delivered accurately, efficiently and in accordance with customer requirements. The role also requires strong knowledge of international freight, customs procedures, EDI systems and inventory and PLM systems.
Key Responsibilities
Supplier & Inbound Logistics
- Liaise with international suppliers regarding production shipping documentation, collections and delivery.
- Coordinate inbound freight from international suppliers to warehouses across the UK, EU and US.
- Work closely with 3PLs & logistics partners, couriers to arrange freight as required.
- Ensure all international shipping and customs documentation is accurate and complete.
- Maintain a clear overview of inbound shipments, proactively identifying and resolving delays or discrepancies.
- Communicate inbound schedules and relevant updates to internal teams and warehouse partners.
Warehouse & Inventory Coordination
- Coordinate the inbounding of stock across multiple third-party warehouses in the UK, EU and US.
- Ensure inventory is received, booked and allocated accurately within relevant systems.
- Monitor inventory movements and investigate stock discrepancies where required.
- Liaise with warehouse partners and suppliers to resolve receiving, inventory and fulfilment issues.
- Maintain accurate product, stock and delivery information across ERP and warehouse systems.
- Support stock transfers between warehouses and territories where required.

Wholesale Operations & Fulfilment
- Coordinate deliveries to wholesale accounts across the all markets across UK, EU and US warehouses.
- Manage wholesale orders from allocation through to final delivery, ensuring customer shipping requirements and deadlines are met.
- Work with major retail partners using EDI platforms and customer portals to manage orders, shipping documentation, ASNs and related requirements.
- Invoice orders directly through ERP and EDI systems once complete.
- Track deliveries and proactively manage delays, shortages or other fulfilment issues.
- Regular internal reporting of delivery progress and issues.
Wholesale Customer Support
- Act as a key operational contact for wholesale customers in relation to order information, order & delivery status, invoicing and discrepancies.
- Build and maintain strong working relationships with wholesale partners and their operations teams.
- Respond promptly to customer queries and investigate delivery, stock or invoice discrepancies.
- Coordinate internally to resolve shortages, damages, returns, chargebacks or other account issues.
- Maintain accurate records of customer requirements, routing instructions and operational processes.
Systems & Administration
- Maintain accurate product, inventory, order and shipment information within relevant business systems.
- Use ERP and inventory management systems, including Zedonk or equivalent platforms, to manage operational workflows.
- Maintain accurate shipment records and supporting documentation.
- Support reporting relating to inventory, inbound shipments, wholesale fulfilment and delivery performance.
- Identify opportunities to improve operational processes, accuracy and efficiency.
Experience & Knowledge
The successful candidate will have:
- Previous experience in a logistics, operations, supply chain or wholesale operations role is essential, ideally within fashion, apparel or a related consumer goods business.
- Hands-on experience with ERP or inventory management systems; experience with Zedonk is highly desirable.
- Practical experience using EDI systems and retailer portals, particularly when working with major department stores or retail accounts.
- Strong knowledge of international freight and experience working directly with freight forwarders and logistics providers.
- Good working knowledge of international import and export procedures.
- Understanding of customs documentation, commodity codes and correct goods classifications, ideally within the fashion or apparel industry.
- Experience coordinating inventory and fulfilment across multiple warehouses or third-party logistics providers.
- Experience managing domestic and international wholesale deliveries.
- Strong Excel and general systems skills.

Reporting Line
The Wholesale & Logistics Coordinator reports directly to the Operations Director and works closely with internal Wholesale and Finance teams, international suppliers, warehouse partners, freight providers and wholesale customers.
